Assistant Director of Finance and Program Administration

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Director of Programs and Finance, the incumbent oversees financial operations and program administration for the Arts Initiative at Columbia University, a pioneering campus venture that connects Columbians with incredible arts experiences on campus and with the larger arts landscape of New York City. Manages budgets, accounts payable and receivable, payroll, procurement, and related reporting. Oversees financial operations of the Ticket and Information Center, including ticket sales, reconciliation reports, and bank deposits. Researches, plans, and implements Arts Initiative programming and events. Responsible for efficient department operations and compliance with University policy. Serves as department representative at events, in rotation with other staff. Performs related duties as assigned, including occasional evening and weekend hours.

Responsibilities

  • Maintain high-quality customer service for diverse audiences, students, faculty, and staff; foster a collegial and inviting environment that enables everyone to do their best work
  • Research, plan, and implement Arts Initiative programming and events, both on campus and in collaboration with external cultural partners
  • Monitor operating budget and financial transactions; oversee monthly ARC reconciliation, research and resolve any problems; prepare reports to aid in budgeting, financial tracking, and projections
  • Manage accounts payable and receivable, process payment of invoices, and resolve billing discrepancies
  • Oversee financial operations of the Ticket and Information Center (TIC), including reconciliation of ticket sales reports, bank statements, and University ledgers; supervision of bank deposits; and preparation of related reports
  • Oversee box office financial operations for student events, including timely reconciliation of sales reports and processing of inter-departmental transfers
  • Support the preparation of the annual budget submission, quarterly fiscal updates and reports, and fiscal close-out
  • Support the preparation of bi-weekly payrolls for student employees, prepare hiring documents, reconcile payroll reports with local ledger, research and resolve any problems
  • Serves as P-Card holder for the department; responsible for processing and reconciling expenses, and compliance with University audit policy
  • Serve as Department liaison with Columbia University Accounts Payable, CUIT, Purchasing, and Vendor Maintenance
  • Process requisitions for and oversee procurement of supplies, services, and equipment; conduct inventories and maintains department property records; schedule maintenance and repair of office equipment
  • Serve as key operator of office equipment, maintains service contracts, and makes purchasing and replacement recommendations
  • Serve as Department representative at events, including University orientations, information sessions, and other events as assigned
  • Maintain administrative and financial filing systems

Minimum Qualifications

Bachelor’s degree or its equivalent required, as is three to five years of related professional experience. A resume and cover letter must be submitted to be considered for the position.

Preferred Qualifications

Experience in the performing and/or visual arts is strongly preferred.

Other Requirements

Must have demonstrated skills in preparing and analyzing financial data. Must be highly organized, motivated, flexible, and able to balance multiple competing demands. Must be detail-oriented and highly organized, with excellent judgment and discretion. Excellent written and verbal communication skills are required, as is the ability to interact with a highly diverse group of constituents within and outside the University and arts community, utilizing savvy, tact, and discretion. Strong proficiency in Excel is required.
