Assistant Director Of Scheduling & Events

Job Summary:
The Assistant Director of Scheduling & Events is a full-time position that is directly responsible for the facility scheduling, contracting and event management of three indoor facilities (Nicholas Recreation Center, Bakke Recreation & Wellbeing Center, Nielsen Tennis Center) and four outdoor spaces. The position supervises two full-time Coordinators of Scheduling & Events and indirectly oversees the hiring, training, and development of approximately 20 student employees. They are responsible for the development and oversight of the scheduling and events budget including pricing structures and rates. This individual will also work directly with professional staff and students to plan and coordinate activities, assess problems, and develop solutions.
Responsibilities: Assists the Director in planning and development for the institution’s event program, including developing the program budget, performing personnel functions, and assisting in stakeholder relationship cultivation, to ensure that operations run efficiently, economically, and in line with department goals and policy.

  • 20% Plans and directs operational functions, and assists in the development of strategic planning initiatives and objectives for events
  • 20% Assists in developing and auditing the unit budget
  • 20% Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees
  • 25% Assists in the development of operating policies and procedures for events in a specific field or working unit
  • 15% Serves as the unit liaison to internal and external stakeholder groups, promotes unit objectives and activities

A minimum of two (2) years full time professional experience in an event management, facility reservation or scheduling setting.

Preferred
Working knowledge of Accruent EMS scheduling software.
Working knowledge of Social Tables for event diagramming.

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Primary hours will be Monday-Friday 8:00am – 4:30pm, but flexibility to work nights and/or weekends when needed is required.

The starting salary for this position is $62,000 and is negotiable based on experience and qualifications.
