The successful candidate will initially be assigned to Dodge City, KS, but extended travel and work throughout the Midwest will be required (e.g., Kansas, Nebraska, Oklahoma, Arkansas).
The Assistant Project Coordinator is an entry-level role intended to develop and integrate a promising individual into the organization. This position works closely with the Project Manager. The Assistant Project Coordinator provides support for construction supervisors and acts as a liaison between field personnel and corporate staff, including the human resources, accounting, and safety/compliance functions.
Duties & Responsibilities:
Project Management Support
- Various documenting, tracking, and completing tasks as assigned (e.g., measuring stations, subcontractor status, review/updating bulletin board, etc.)
- Review HCSS entries and/or complete Road Report
- Verify quantities reported by foremen in HCSS entries and production reports.
- Verify proper cost code phases are used.
- Ensure diary or cost code notes have detailed work performed (e.g., stations)
- Assist with compliance with Traffic Control Plans and Storm Water Pollution Prevention Plans.
- Attend project meetings, document, and disseminate minutes.
- Communicates with senior management, project engineers, and subcontractors.
- Proactively learn and study project documents
- Help set up, maintain, and close out services.
- As assigned, assist with ordering material
- Maintain records for compliance in shared project files as completed or delivered (e.g., material certifications)
Liaison between Corporate and Project
- Ensure/assist various reporting activities are completed (e.g., monthly bulk fuel log)
- Assist in contacting staff when technology is unavailable.
- Help expedite answers for corporate staff (e.g., invoices questions, people/equipment onsite)
- Inform corporate of staffing changes/needs/crew assignments (i.e., separation notices, open positions, crew changes)
Human Resources, Accounting, and Safety/Compliance Support
- Accurately collect, distribute, and complete personnel paperwork.
- Finalize the onsite onboarding steps (form I-9 document verification, saliva drug screen, provide PPE, scan/submit dependent verification documents and CDL driver documents: road test, CDL, medical certificate)
- Assisting in completing accident and injury reports including saliva drug screen.
- Review, allocate the cost to appropriate code, and approve invoices >$500.
- Compile expense reports for credit card usage on a set of designated individuals (i.e., upload receipt, code, and submit report)
General Administrative Support
- Replenish office and safety supplies.
- Maintain field office appearance and cleanliness.
- Administrative assistance including paperwork requests, researching, solving problems, and directing individuals to the appropriate personnel (e.g., benefits questions to Payroll & Benefits Specialist).
Preferred Experience:
- 2-3 years in the construction industry
- Experience with Microsoft Office including Excel, Word, and Outlook
Required Qualifications:
- Must be at least 18 years of age.
- Have a valid driver’s license.
- Must be able to complete a pre-employment drug screen with a “Negative” result.
- Must be able to complete a post-offer physical with a “Capable” result.
Salary: $40,000 – $70,000, based on experience
