The Department of Economics has 11 faculty members and offers an undergraduate program as well as a graduate (MA) program and a dual-degree BS/MS program. The department is home to approximately 110 undergraduate student majors and 60 minors, as well as 20 graduate students in the MA and MS programs. Additionally, we offer over 850 seats in introductory courses required for all Business majors.
Position Summary
The Department Assistant provides budget management, office management, academic program coordination, and administrative support to the Department of Economics within the College of Arts, Humanities, and Social Sciences (CAHSS). Duties include management of departmental and grant budgets, performing daily fiscal transactions, supporting faculty recruitment processes, academic program support and coordination, graduate student recruitment, supervision of student employees, managing departmental forms, documents, webpages, and social media accounts, event planning, and handling the day-to-day business operations of the department. The ideal candidate must be able to work independently under general direction, manage several tasks with close attention to detail, meet established deadlines, and provide excellent customer service to students, faculty, and staff under a variety of circumstances.
Essential Functions
General Duties
- Greet and assist visitors to main offices
- Answer questions from students about programs
- Monitor and respond as appropriate to department email and voicemail accounts
- Perform space allocation analysis and adjustments (as required)
- Maintain and manage departmental records (collect syllabi quarterly, manage shared drive storage, keep meeting minutes) and compile/send information to stakeholders on behalf of the department
- Provide logistical support for departmental events, such as room reservations and coordination with other CAHSS departments
- Other duties as assigned by the department chair to support functions
Budget Management
- Budget planning/forecasting, monitoring and reconciliation
- Manage daily transactions including: accounts payable/receivable, grants and endowments, p-card reconciliation
Process payroll for departmental work-study and other staff positions
- Perform year-end reconciliation and other tasks based on DU and CAHSS training and deadlines
HR Management
- Support all aspects of faculty and adjunct recruitment including: preparation of job posting materials, monitoring of applications, scheduling candidate interviews, making travel arrangements for candidates, processing reimbursements for searches
- Complete hiring paperwork for faculty, adjuncts, benefitted/non-benefitted staff, and student GTAs
- Assist departmental committees in compilation of promotion and tenure files for faculty
- Assist chair as needed with sabbatical applications/approvals
Academic/Program Support
- Coordinate course scheduling and class assignments quarterly
- Assist in planning of annual departmental events
- Assign undergraduate advisees, inform students and faculty of assignments; support advising functions
- Assist with program promotion via social media, website, flyers; respond to program inquiries
- Support all aspects of graduate recruitment including: Monitoring of application status, support applicants to complete open applications, coordinate application review processes for the faculty admissions committee, schedule interviews, make travel arrangements, process reimbursements
- Work with department chair and graduate advisor on prospective graduate student visits, graduate student financial aid, GTA assignments, year-end celebrations, and similar
- Compose/maintain informational and handbook documents, maintain graduate program files, track progress toward degree for graduate students

- Ability to read and interpret documents such as procedure manuals, reports, and other pertinent information.
- Ability to interact with CAHSS faculty, employees, and students communicate effectively and sensitively with students, faculty, and staff from a diverse range of backgrounds
- Ability to do basic math and accounting, work with spreadsheets, learn finance/budget reports
- Proficiency with relevant technologies, including: Microsoft Office suite (Word, Excel, PowerPoint)
- Ability to be adaptable/flexible
- Ability to develop and maintain good working relationships
- Ability to take and receive direction
- Strong organizational skills and attention to details
- Ability to problem solve, prioritize, and multi-task
Required Qualifications
- Bachelor’s degree or equivalent combination of experience and education obtained in other work settings such as military or non-profit organizations
- Two (2) years of experience in an office support setting
- Experience in basic accounting/bookkeeping
- Experience with accounts payable/receivable
- Basic Proficiency with Excel
Preferred Qualifications
- Three to five (3-5) years of experience in an office support setting, preferably with accounting/bookkeeping experience
- Experience working in a university setting
- Familiarity with Banner, Executive Dashboard, Concur, Slate or other similar financial and data tracking systems
- Experience managing social media accounts in a professional setting

Hourly Range
The hourly range for this position is $22.00-$25.00.
