Nature of Work

This is a responsible administrative and supervisory position assisting the Venues Manager with the management and operation of City of Miami venues and their associated facilities which are available for lease and rental. An employee in this classification is responsible for promoting the availability of assigned City venues and accepting and processing requests for their use.

Work involves responsibility for assisting in the management of City venues and supervising the operations and maintenance of assigned City venues. Supervision is exercised over subordinate full time and part-time personnel. This position involves extensive contact with prospective clients, organizations, vendors, and the general public. Responsibilities include but are not limited to providing information and fielding questions about City venues and discussing availability and pricing with prospective venue users. The Assistant Venues Manager shall ensure efficient and profitable operations and maximize the potential of assigned facilities. General supervision is received from the Venues Manager or his/her designee. However, considerable latitude and independence is exercised in the performance of administrative and supervisory responsibilities over the operations and maintenance of the venues.

Essential Functions

Oversees the daily operations of assigned City venues.

Supervises the care and maintenance of venues. Oversees venue operations, programs, staff, contractors, and facilities to maximize venue usage and profitability.

Implements and reports on the annual venues business plan including all facility operating budgets, marketing plans, customer service improvements programs, staffing plan, etc.

Ensures effective control of revenues, expenses, and operating results, and takes corrective action to guarantee achievement of venues operating objectives.

Provides detailed monthly and annual reports on business activities, financial results, and key statistical data.

Responds to information requested by internal and external auditors.

Ensures billing and collections procedures and policies are followed; implements rental rate structures, terms and conditions of Use Agreements, and related user fees.

Assists with the development and implementation of a strategic and aggressive marketing campaign to attract tourists, organized groups, and the general public to utilize the venues to ensure continued business growth. Assists with preparing promotional and informational materials for assigned venues.

Assists in identifying, applying, and monitoring the process for grant opportunities.

Promotes harmonious and equitable relationships between clients/users and the City of Miami.

Implements and maintains system and processes that effectively provide all venues customers, tenants, and contractors with the highest level of professionalism and customer service.

Ensures that proper written records are maintained on venues activities, incidents, revenues, deposits, insurance requirements, etc.

Ensures policies, rules and regulations, ordinances and City procedures are followed.

Ensures all property and assets are maintained, monitored, and presented in a manner that is in keeping with the department standards.

Stays abreast of current trends, rates, and issues in venues operations and rentals.

Exercises general supervision over assigned personnel and operations; trains staff on policies and procedures.

Conducts regular performance reviews and staff meetings.

Conforms to all venues policies and procedures, ensuring that all staff conduct their duties in the same manner.

Attends meetings, as required.

Performs other related duties as required.

Minimum Requirements

  • Bachelor’s Degree in Public Administration, Business Administration, or a closely related field.
  • Four (4) years experience in the management and operations of an auditorium, theater, large hospitality industry complex, or other similar facility involving promotion and scheduling of events and extensive public contact.
  • One (1) year of related supervisory experience is also required.
  • A valid Driver’s License from any state (Equivalent to a State of Florida Class E) may be utilized upon application, (See “Note and Documentation Sections” below).

  • Equivalent combination of education and experience beyond a high school diploma or its equivalent and one (1) year of the above mentioned required experience.
