Description
The Associate Director of Daily Operations will supervise both the people and processes for the administrative team, the facilities team, and vendors. The Associate Director is responsible for streamlining processes for administration and facilities for the agency, including safety, preventative, predictive processes for the facilities, as well as all phases of fleet management. Additional scope of responsibilities will include the development and documentation of intra- office communication protocols, and inventory control.

What to expect on a given day as an Associate Director of Operations:
- You will create and maintain a welcoming and efficient front desk that emphasizes organization, professionalism, courtesy, flexibility, and teamwork
- You will coordinate with satellite offices outside of the main campus, to ensure consistency of administrative processes, policies, and procedures across the agency
- You will oversee set up and problem solving of the cellphone and desk phones for the agency
- You will ensure the day-to-day operations of the facilities including, life-safety, site services, and general maintenance are implemented and carried out utilizing the maintenance referral system
- You will develop long term plans for the facilities including timelines and requests for proposals, and processes for all facilities-based vendors
- You will coordinate and oversee HVAC systems in facilities through contracts with heating, ventilation, and electrical vendors.
- You will work with the programs to ensure the fleet is maintained, repairs are completed, and interact with the vendors
- You will support set up and integration of new hires with office space across the agency as needed
- You will coordinate with janitorial vendor, facilities, and other departments to maintain a clean safe working environment
- You will complete twenty (20) hours of continuing education/training per calendar year, three (3) of those hours must be Diversity, Equity, Inclusion, and Belonging focused

You would be a good fit for this position if you:
- Have a 4-year degree with a minimum of 5 years job related experience
- Have a minimum of 2 years of supervisory experience
- Have excellent communication and organizational skills
- Can handle confidential information, details, work independently, prioritize work, and meet deadlines
- Can manage multiple projects
- Have experience working with contractors and vendors
- Have the ability to create and sustain positive working relationships with all levels of the agency; internal and external
Salary Expectations
Dependent on experience, salary 71,000-75,000.
