Position Summary

The department of Gift Administration and Records Management (GARM) is a key support component to the success of the broader Advancement unit. The GARM team works closely with Advancement Operations, development officers and other Advancement team members, partners in the Controller’s office, Internal Audit, external auditors, and other University units to manage donations to the University of Denver, ensure entry and quality, and maintain the database used to solicit and communicate with the constituent population.

The Associate Director of Training is a full-time professional position reporting to the Director of Gift Administration and Records Management. The position’s primary responsibility is to provide leadership and training supporting the development of business, systems, and resource education to individuals working within Advancement. Additionally, the Associate Director must maintain the knowledge of current tools, technology and methodologies, and serve as a source of knowledge regarding the configuration and continuing the work on enhancements in Advancement’s CRM Advance database and other technology tools deployed in the furtherance of Advancement’s mission.

This individual develops and conducts group and custom trainings, while tracking and supervising the education of staff. The Associate Director also monitors the usefulness of systems resources, providing resource feedback for effective improvements. This individual confidently represents Advancement Operations as integrated support to Advancement staff. This role is critical to supporting University of Denver’s expanded fundraising goals by increasing employee effectiveness.

The Associate Director must cultivate and maintain effective working relationships with a variety of stakeholders, including end-users, project managers, business analysts and developers, and senior staff members. The nature of the position involves actively participating in multiple work-groups at one time, project management and disseminating information across all levels of the organization.

Essential Functions

Leadership and Training

  • Designs, develops, and delivers curriculum and training programs to effectively address the training needs of DU Advancement, with significant focus on enhancing the utilization of current database systems resources.
  • Serves as an advancement operations representative and subject expert to strengthen development staff knowledge and promote and support the various functions of the advancement team.
  • Interpret the needs and assess technology and training solutions for the DU Advancement team, identify future needs of users and stakeholders and help prioritize and address them; and evaluate new potential solutions.
  • Develop workflow processes and documentation across the DU Advancement Division.
  • Serves as a key member of the Advancement Operations team documenting business rules and processes for all of DU Advancement with the goal of using our systems in a simple, clear, and consistent way.
  • Develops, tests, and refines training approaches and materials in advance of any new training scheduled or implemented.
  • Solicits, tracks, and improves training and support services to effectively address participants, their managers and feedback from Advancement leadership.
  • Maintains records of training activities, including attendance by staff. Shares this information with leadership on a quarterly basis to identify opportunities for educational enhancement.
  • Coaches staff regularly, particularly fundraisers, to achieve better understanding of technical application, policies, and procedures.

Project Management and Data Integrity

  • Manage strategic projects as assigned by the Director of Gift Administration and Records Management. Develop and apply knowledge of workflow and operating practices to data related projects.
  • Provide analysis and project management expertise for DU Advancement reporting driven from the CRM Advance database.
  • Work with other DU Advancement Operations staff on data hygiene projects in the fundraising database and create and document new and revised processes.
  • Ensure the highest level of data integrity through the design, documentation of, and implementation of data entry policies and procedures, and auditing processes.
  • Provides timely, solution-oriented responses to requests for improving database configuration and utilization.
  • Makes suggestions to procedures or user interface based on observations and feedback from training sessions.
  • Keeps current on activities of DU development staff to understand database use and effective data management needs.

  • Serves as an active and collaborative partner to all central and unit-based Advancement staff and other campus colleagues, to foster strategic, effective, and collaborative career and professional development practices.

Required Qualifications

  • Bachelor’s degree or equivalent combination of education or work experience (Veterans with equivalent combination of military certification/education and experience may substitute for the degree qualification)
  • 3 years of experience in advanced database utilization
  • Experience building and delivering training in multiple formats to diverse audiences
  • Experience using instructional tools, including Microsoft Office and various computer training applications

Preferred Qualifications

  • Proficiency and understanding of data complexity within a Development or Advancement operation
  • Experience in professional instruction within a higher education advancement/development setting
  • Experience in change management, conflict resolution, facilitation, and team building
  • Certification in adult training methods, change management, or professional instruction
  • Experience using Ellucian’s CRM Advance, Banner Advancement, MS Dynamics CRM, or other similar CRM or relational databases.

  • Standard open office environment
  • Noise level is quiet to moderate
  • Eligible for hybrid work

Physical Activities

  • Ability to sit in front of a computer for an extended period
  • Must be willing and able to travel between multiple buildings across campus, and to move computer hardware from building to building with assistance (occasionally up to 20lb)

Work Schedule
Monday – Friday, 8:00 a.m. – 4:30 p.m., some nights and weekends as required

Salary Grade Number:
The salary grade for the position is 11.

Salary Range:
The salary range for this position is $65,000-$80,000.
