Boeing Brand Experiences (BBE) is seeking an Associate-Level Event Specialist to deliver world class experiences at Boeing Future of Flight (BFoF) in Mukilteo, WA, a public facility that showcases Boeing and aerospace innovation.

The Event Specialist will work collaboratively with stakeholders to oversee planning and execution of meetings, as well as conferences and special events hosted at the facility. The specialist will coordinate all amenities including site logistics, staffing, catering, and audio-visual equipment.

Position Responsibilities:

  • Oversees operational aspects for public programs, meetings, conferences, workshops and events held at the BFoF
  • Develops and facilitates all logistical details of events and public programming including audio visual, room set-up/clean-up, resources, equipment inventory, run of show, staffing, rehearsals, food and beverage, event order, vendors/sponsors/speakers, etc.
  • Serves as the main point of contact during events by maintaining communication with speakers, staff members, and guests
  • Coordinates decisions on event logistics across the organization
  • Assists in developing and driving revenue targets for facility rental program
  • Tracks and reports accurate financial and attendance metrics
  • Issues and administers client contracts within approved Boeing guidance, and coordinates accurate invoicing for services and materials
  • Collaborates with enterprise teams to ensure corporate and facility policies are implemented appropriately for event use
  • Tracks and manages inventory for venue-owned furniture and equipment resources
  • Develops trusted vendor and catering contacts and procedures; arranges for special services with external vendors as required, such audio-visual needs
  • Collaborates with onsite and cross-functional teams to ensure optimal guest journey for all BFoF attendees and mitigates facility use conflicts
  • Maintains and communicates the event and facility schedule to all site leaders
  • Works with marketing team to update private event advertising and collateral as needed
  • Acts as system administrator for resource management platform
  • Maintains event request system to include building use calendar, furniture and equipment inventory utilization
  • Leads regular event and operations team meetings, as well as after action reviews
  • Communicates safety policies to clients and guests; ensures guest safety during for all events and programs
  • Leads evacuation and safety protocols during emergencies
  • Engages with event industry peers and associations to stay current with trends, business development opportunities, and best practices

This position may require the selected candidate to work varying schedules, such as, weekends and holidays based on business needs.

This position is expected to be 100% onsite. The selected candidate will be required to work onsite at one of the listed location options.

Basic Qualifications (Required Skills/Experience):

  • Experience working on a program leadership team
  • Experience in using professional written and verbal communication skills to achieve deliverables
  • Experience working in cross-functional teams
  • Experience preparing and delivering presentations or proposals to management and clients

Preferred Qualifications (Desired Skills/Experience):

  • Experience establishing relationships and maintaining strong on-going communication with customers, suppliers and/or vendors
  • Experience in resolving scheduling conflicts
  • Event planning experience

Typical Education/Experience:
Education/experience typically acquired through advanced education (e.g. Bachelor) and typically 3 or more years’ related work experience or an equivalent combination of education and experience (e.g. Master+1 years’ related work experience , 7 years’ related work experience, etc.).

Relocation:

Please note that the salary information shown below is a general guideline only. Salaries are based upon candidate experience and qualifications, as well as market and business considerations.

Summary pay range: $68,000 – $92,000
