Job Description

The Design School at the Herberger Institute for Design and the Arts is looking for a key contributor and collaborative problem-solver to join our academic affairs staff. This position manages the support staff of academic affairs, leads administrative processes, procedures and practice to ensure consistent communication and collaboration between functional areas of the university including academic graduate advising, enrollment, curriculum and scheduling. We welcome applications from self-motivated individuals who can also support other needs of The Design School.

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
Required to stand for varying lengths of time, and walk moderate distances to perform work.
Frequent bending, reaching, lifting, pushing and pulling up to 25-pounds.
Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
Ability to verbally communicate clear instructions and expectations to perform essential functions.

Days and Schedule: Typical schedule of 8 am – 5 pm, Monday – Friday with possible nights and weekends with notice for events.

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment and four (4) years of related experience, including two (2) years of supervisory experience; OR, Eight (8) years of related experience, including two (2) years of supervisory experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Knowledge of up to date trends and issues in higher education and marketing.

  • Experience in using Microsoft Office Suite, PeopleSoft, and Salesforce.

Essential Duties

  • Manages and supervises a team of academic coordinators that establish goals, executive progression plans, resolve general issues and concerns of students, provide resources and direction and facilitate communication amongst faculty and students.
  • Helps to identify areas of deficiency and assists students in resolution.
  • Establishes and executes strategic goals for the academic affairs staff, including long-range planning and assessment.
  • Initiates and develops workflow processes for Academic Affairs, including admission, TA/RA, graders, advising, handbook, update curriculum and scheduling, etc.
  • Initiates and maintains relationships throughout internal and external partners.
  • Manages, provides and guides professional development for staff.
  • Collaborates with faculty and administrators to infuse curriculum development with experiential learning components and practical applications.
  • Provides oversight, direction and leadership.
  • Works collaboratively with the Branding and Communications department to update graduate publications, including web pages information, materials and other resources.
  • Oversees and resolves product or service problems by clarifying the customer’s (i.e. student/faculty) complaint; determines the cause of the problem; selects and explains the best solution to solve the problem; expedites corrections or adjustments; follows up to ensure satisfactory resolution.
  • Understands and correctly utilizes resources provided by internal systems, departments, policies, and procedures.
  • Assigns and directs the workflow to ensure excellent service is delivered through appropriate staff planning and scheduling to meet/exceed all of the department’s goals; help solve problems that affect the service, efficiency, and productivity of the front end in the best interest of both the customer and the University
  • Reports to the Manager of Academic and Faculty Affairs.
