Our Organization and Mission: The Office represents the State of Florida in state and federal civil and criminal courts, from trial courts to the Supreme Court of the United States.

Pay: $70,000 Annually

Position Summary: This position is with the Florida Attorney General’s Office of Public Records in Tallahassee and most responsibilities will be related to public records, information governance, and records management.

Qualifications: Bachelor of Laws or Juris Doctor from a law school accredited by the American Bar Association and membership of the Florida Bar. Applicants who are law school graduates but not current members of the Florida Bar and third-year law students can be considered; however, proof of a Bachelor of Laws or Juris Doctor and approval to sit for the Florida Bar exam must be provided prior to the date of employment. Any employment offer would be contingent upon admission to the bar within 12 months of the date of employment.

The ideal candidate should possess an understanding of the methods, techniques, and skills that are required to execute the job duties effectively and efficiently. All assigned tasks must be completed accurately and thoroughly within the designated time frame. The work should meet or exceed expectations. The applicant must be proficient in using work methodologies, computer applications, software, office equipment, and other necessary tools to perform the duties of the position.

The Work You Will Do: The duties of this position may include but are not limited to:

Public Records and Records Management Responsibilities:

  • Responds and/or assists with responding to requests from the public and governmental agencies for information and records.
  • Coordinates with agency staff statewide as needed to locate records responsive to public records requests, government requests, and subpoenas.
  • Performs records searches.
  • Reviews documents for responsiveness and exempt or confidential information pursuant to Chapter 119, F.S., and other applicable state and federal laws.
  • Responds to staff inquiries regarding Florida’s public records laws, information governance, records retention policies, and records management.
  • Provides training to agency staff as directed regarding record retention and public records requirements.
  • Reviews and provides feedback to the Attorney Supervisor concerning agency policies that are relevant to record retention, recordkeeping practices, and public records requirements.
  • Assists with matters or cases in other divisions, as necessary, to comply with litigation hold requirements.
  • Provides assistance to the Attorney Supervisor(s) and other Office of Public Records staff members as requested.
  • Provides updates and information on the status of public records and records management matters to the Attorney Supervisor(s) and client, as requested.

Legal Research

  • Conducts legal research and interprets statutes, regulations, rules, and operating procedures, providing legal advice/information to the client or Attorney Supervisor as requested. This may include drafting legal memoranda.

Court/Litigation:

  • Attends trial litigation, mediation, and any other court-related appearances in court matters related to public records and records management.
  • Advises the Attorney Supervisor of potential litigation matters related to public records.
  • Reviews and drafts legal correspondence.
  • Reviews and responds and/or assists with responses to subpoenas received by the agency.
  • Defends and/or assists in defending the agency in public records and records management litigation matters in state or federal courts, including preparing pleadings, motions, memoranda of law, and briefs; prepares legal research and evaluates the research of investigators; prepares subpoenas, conducts discovery and other pretrial proceedings. Attends trials, hearings, and appellate oral arguments in court. Computer use is required to prepare pleadings, briefs, and other documents.

Miscellaneous:

  • Performs routine administrative matters, including supervising legal secretaries, paralegals, and interns, attending staff meetings, preparing travel vouchers, time records, filing documents, etc.
  • Acquires and maintains current expertise in areas of practice, including reading recent judicial decisions and case summaries and attending continuing legal education and other professional seminars.
  • Performs assigned duties in a timely fashion, which may require extended hours and/or travel outside of the worksite.
  • Participates in meetings, workshops, and conferences as required.
  • Maintains files and ensures files have all proper documentation.
  • Updates activity and status in all necessary databases to meet deadlines and performance standards.
  • Performs related work as directed.
