Our Benefits Specialist supports 20,000 associates that are eligible for benefits. We are responsible for delivering high-quality service to our customer’s and associates. This person will be responsible for managing the day to day administration of the company-wide benefits programs. The Team serves as the liaison between our associates, third-party vendors while ensuring compliance with all applicable laws and regulations.

Responsibilities:
- The team manages all welfare plans, 401(k) and leave of absence processes and policies, ensuring compliance with FML, ADA, ERISA, HIPPA, COBRA, OSHA, and all applicable Federal and/or State employment laws.
- The Benefits Specialist Team works diligently to deliver a high quality of service to each and every associate through multiple sources of communication.
- Day to Day Leave of Absence, Reasonable Accommodation & Benefits Administration for 50k associates throughout the US and Canada, ensuring we meet our department Service Level Agreement promise.
- Work with employees, carriers, and benefits advisor(s) to make decisions and advise on leave of absence and reasonable accommodation processes and policies, benefit questions, comments, and concerns.
- Create standard work, processes, and procedures within the benefits administration function to gain efficiencies.
- Ensure all applicable laws and regulations are followed and administered accordingly.
Qualifications:
- Bachelor’s Degree in Human Resources Management or Business Administration or equivalent job-related experience required
- 1+ years in Human Resources and/or Benefits (basic understanding of LOA, ADA, benefit types, programs etc.)
- Superior customer service and organizational skills
- Strong project management and multi-tasking skills
- Self-starter and motivator- has created processes and procedures
- Experience working within an HRIS system
The hourly rate for this role is $22.00 – $23.00

Position Summary
The Benefits Specialist Team is accountable for performing the day-to-day and administrative functions for the Company’s leave of absence, reasonable accommodations and benefit programs. The team manages all welfare plans, 401(k) and leave of absence processes and policies, ensuring compliance with FML, ADA, ERISA, HIPPA, COBRA, OSHA, and all applicable Federal and/or State employment laws. The Benefits Specialist Team works diligently to deliver a high quality of service to each and every associate through multiple sources of communication.
Essential Job Duties and Responsibilities
Benefit Plan Administration
- The Benefits Specialist administers and communicates the company’s benefits (health and welfare) in regards to plan options, policy features, enrollment and regulatory requirements.
- Maintain a current “specialist” level understanding of Company’s benefit plans and trends, program offerings and regulatory benefit requirements.
- Provide guidance to Company’s multi-state Associates, acting as a liaison between third-party benefit vendors and Associates and advise employees on eligibility, coverage, and other benefits matters in a clear and concise manner; Assistance to employees and/or dependents in resolving escalated benefit issues or corrections to benefit plans or enrollment.
- Process and audit Associate benefit changes or updates in payroll system and with third- party vendors.
- Assist in the coordination, facilitation, and communication of Open Enrollment.
- Compiles and maintains benefits records in associate files and completes documents including court orders and State forms.
Leave of Absence & Reasonable Accommodation Administration
- Timely administer all company, state and federal leave of absence requests as well as administer and process all reasonable accommodation requests ensuring the interactive workplace accommodation process is followed in accordance to all company and applicable laws.
- Maintain LOA Admin and ADA system with a high degree of accuracy making sure that all new claims, updates and closed claim information regarding STD, FML, Workers Comp, LTD, ADA, state statutory and company leaves is added, tracked and updated in a timely manner.
- Administration responsibilities include, without limitation, reviewing accommodation requests; reviewing and comprehending records; developing an understanding of job duties associated with relevant Company positions; evaluating requests in relation to relevant job duties; making recommendations regarding effective accommodations; and preparing written documentation and communications regarding accommodation requests, decisions, and status.
- Maintain effective communication with associates, third party carriers and or carrier representatives, managers, supervisors, legal team and HR to respond to all questions and needs in accordance with the teams SLA’s.
- Ensure legal compliance regarding all company leave of absence and reasonable accommodation needs including but not limited to: Corporate sponsored Disability Policies, Federal FMLA, State Sponsored FLA, HIPPA, USERRA, ADA, company Drug Testing policies and other Leave of Absence related legislation and policies.
- Maintain and create all leave and accommodation related reporting and auditing.
- Advise employees on required benefit premiums while on leave when applicable.

Minimum Qualifications
Education Level: (Preferred): Bachelor’s Degree or equivalent job-related work experience
Field of Study/Area of Experience: Human Resources Management or Business Administration
- 2-4 years of experience administering health and welfare benefit programs
Skills, Knowledge and Abilities
- Working knowledge of ERISA, DOL, IRS, FMLA, HIPAA, PPACA, ADA
- Solid knowledge of fundamental issues surrounding health and welfare and savings (401(k)) programs
- Human Resources generalist experience a plus
- Interpersonal savvy and ability to develop peer relationships
- Ability to plan by incorporating good problem solving skills and prioritizing to obtain results
- Must exhibit managerial courage, excellent communication skills
- Strong analytical and financial skills
- Proficient in Microsoft Office Suite – spreadsheets, word processing, presentation development
- Oracle, PeopleSoft, ADP or other HR system experience required

Incumbent must be able to perform the essential functions of the job. Work is performed primarily in an office environment. Typically requires the ability to sit for extended periods of time (66%+ each day), ability to hear the telephone, ability to enter data on a computer and may also require the ability to lift up to 10 pounds.
