Position Summary:

A part-time (~28hours per week) benefited staff position involving essential budgetary, HR and transactional support in the Psychology’s sizable and busy department with academic and research administrative processes. This position supports the Department Chair and the Grants & Budget Manager with internal and external funds. The position includes (but not limited to) the following duties: assisting and following through on HR hiring processes for benefited and non-benefited staff positions, including adjuncts and non-benefited positions funded by all sources, including work study positions. Assist supervisors with the welcoming process of new employees, monitor and approve biweekly/monthly payroll, and termination processes. Assist the budget manager with purchasing process requisitions/purchasing orders, relevant backup, and arranging for appropriate faculty/staff in obtaining DU purchasing card. Train and assist faculty, staff, and students with the SAP Concur expense system and Kronos Timecard system.

Essential Functions:

  • Payroll: Monitor and approve biweekly/monthly payroll and communicate with department supervisors regarding employee hours. Work closely with the Grants & Budget Manager for grant timecard process, collecting grant timesheets and verifying hours match hours in PioneerTime. Assist employees with questions about the Kronos/PioneerTime system. Monitors work study awards.
  • Posting, Search and Hiring Support (non-faculty): Collaborate with the Grant & Budget Manager to post staff benefited positions, and non-benefited adjunct positions, and non-benefited staff and student positions. Support supervisors/search committees to obtain candidate materials, interview steps in the online hiring system, and finalize each search with Human Resources. Schedule new employee orientation sessions, and work with supervisors on the checklist in welcoming their new employee. Processing employee separations.
  • SAP/Concur: Assist psychology faculty, staff, and students with DU’s policies regarding expense and travel requirement processes. Provide support to create/manage expense reports in SAP Concur system. Responsible for ensuring timely reconciliation of P-card expenses. Maintain an understanding of DU Purchasing policies and serve as a departmental resource.
  • Backup to Administrative Assistant/Front Desk position: Provide backup to the Administrative Assistant/front desk position when needed for lunches and/or vacations which could require being “on call” if the Administrative Assistant calls out for the day. Assists the Administrative Assistant in ensuring the “baby list” is sent out monthly on schedule.
  • Banner: Enter direct pays, requisitions and work with the graduate student tuition waiver process.
  • Special Community Members: Process requests for all special community members in the Psychology Department. Initiate a background check, submit in workflow, and maintain a spreadsheet of all special community members on a shared drive with other staff.
  • Other Duties as assigned: Other duties as assigned by the Grants and Budget Manager and/or Department Chair as needed.

  • Ability to communicate effectively with faculty, staff, students, and the general public.

  • Strong computer skills to include proficiency with Microsoft Office Suite: Word, Excel, Outlook, and the ability and willingness to learn new software

  • Ability to establish and maintain good working relationships with faculty, staff, and students.
  • Ability to handle a busy atmosphere
  • Ability to communicate interpersonally and in writing to include positive interpersonal skills including email etiquette, and virtual meetings.
  • Ability to work with minimal supervision, organize priorities.
  • Ability to provide a high level of attention to detail
  • Ability and willingness to learn new software and processes

Required Qualifications

  • 2 years experience
  • General accounting knowledge (on the job or accounting classes)

Preferred Qualifications

  • B.A. in relevant field
  • Accounting, HR and administration experience
  • Experience using the following applications/software systems: iBanner, Kronos Payroll System, Concur Expense System, PageUp Job Post System, Zoom/MS Teams, MS Word, Excel, and Outlook.

Working Environment:

  • Position is eligible for hybrid remote agreement. First 6 months of position is in person.
  • On-campus – standard office environment, noise level is quiet to moderate, and may be subject to heat and cold on occasion.

Physical Activities:

  • Ability to sit in front of a computer for an extended period of time.
  • Ability to perform office functions (standing, sitting, walking, reaching)

Work Schedule:

Monday-Friday: 28 hours per week. Some flexibility in work hours are possible.

The salary grade for the position is 6.

Hourly Range:
The hourly range for the position is $20.50-$23.50
