Business Coordinator III – Pardee Center, Josef Korbel School of International Studies

The Frederick S. Pardee Center for International Futures uses academic research to inform policy debates about long-term patterns of interaction in global trends. The Center’s research, which focuses on patterns of development in human wellbeing (broadly defined), geopolitics and conflict, and sustainability, has informed policy at the highest levels across national governments and international and non-governmental organizations. Its freely available and open-source research helps shape how people think about the long-term future of human and social development to improve development outcomes for future generations. The Center maintains 17 full-time benefitted staff members, employs approximately 100 students annually, and conducts $2 million of sponsored research annually.

Reporting to the Pardee Center Director and Director of Operations, the Business Coordinator performs various business operations, including HR, office management, and contract administration. This position involves the supervision of others. It also requires managing various business and records functions, interpreting policies and procedures, and advising leadership on business and fiscal matters.

Essential Functions

Business Operations

  • Manage and process Pardee Center recruitment and hires with the Korbel Dean’s Office and various central DU departments and offices, as appropriate.
  • Assist with employee onboarding, transitions, and separations.
  • Manage biweekly and monthly payroll for all employees.
    • Process timecards through Kronos/PioneerTime, enter payroll redistributions into Banner, create and submit grant timesheets, reconcile and redistribute payroll charges, as needed, on a timely basis.
    • Monitor effort and ensure employees are up-to-date on effort certification.
  • Perform payment operations, including P-Card activity, purchase orders and other entries as needed.
    • Assist employees with processing P-Card expense reports and advance requests.
    • Verify charges and monitor transactions on all P-Card activity.
    • Identify and reconcile erroneous, unanticipated, or misplaced charges, as needed, on a timely basis.
  • Assist with inventory acquisition and management.
  • Assist with travel and international visitor coordination.
  • Coordinate Pardee events.
    • Submit all appropriate intake forms within their respective deadlines.
    • Reserve food, space, and beverages consistent with event budget, theme, and purpose.
    • Handle event registration.
    • Coordinate with participants.
    • Lead event marketing and outreach.
    • Lead day-of logistics and field all post-event follow-up.
  • Track key deployment, control network access requests, and perform facilities and information-security related activities.
  • Support and contribute to center-wide communications and community outreach:
    • Outreach to departmental staff and subsets of departmental staff with operational updates, as needed.
    • Help develop and implement the institute’s communications, marketing, and events strategies.
    • Edit Pardee Center website and oversee content changes to it.
  • Represent Pardee and liaise with other business-related DU departments, offices, and communities.
  • Supervise one or more administrative support employees.
  • Create and manage special projects, as needed.
  • Other duties, as assigned.

Contract administration

  • Help review and interpret funder spending guidelines; communicate findings to appropriate parties on a timely basis.
  • Review project proposal application and solicitation guidelines, as applicable; prepare proposal submissions checklists; create and manage workspaces in submission portals and records in eRA/InfoEd; and coordinate with ORSP, the Korbel Dean’s Office, named consultants and subawardees, and other parties, as needed, on collecting and validating all proposal submission materials.
  • Manage accounts receivable for contractual offerings: invoice clients, track billing, process payments, reconcile activity.
  • Manage accounts payable for vendors, subawardees, and consultants on externally funded work,
    • Track, log, and verify invoices.
    • Process payments consistent with payment and financing plans.
    • As appropriate, monitor vendor performance.
    • Process amendments to extend performance periods, as required; and related follow-up.
  • Assist with award close-out.
  • Other duties, as assigned.

  • Ability to exercise good judgment, discretion, and confidentiality when handling sensitive information and matters with coworkers, leadership, external departments and offices, funders, and others.

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.
  • Two years of related experience.
  • Comfort with or willingness to learn to work in MS Excel and independently and effectively use formulas and advanced features and functionality, including, but not limited to, conditional summing, counting, and related functions; lookup, matching, and indexing functions; and pivot tables.
  • Comfort with or willingness to learn to independently use applications and systems that support the Pardee Center’s business and contract administration.

Preferred Qualifications

  • Five years of related experience.
  • 1+ years of experience in a university research administration office or similar sponsored research environment in a complex matrixed organization.
  • Experience using electronic payment and payroll systems, including Banner, Cognos, and Kronos.
  • Experience using recruitment platforms including PageUp and 12twenty.
  • Experience using project and/or task management software.

Working Environment

  • Standard office environment.
  • Unexpected interruptions occur often, and stress level is moderate to high.
  • Noise level is quiet to moderate.
  • Physical Activities

  • Ability to sit in front of a computer for an extended period of time.
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.
  • Work Schedule

    Monday – Friday, 8:00 a.m. – 4:30 p.m. Work hours may vary.

    Hourly Range:

    The hourly range for the position is $25.00 – $28.00.
