This is a fast-paced and highly responsible position that requires an individual experienced in working with very busy professionals, who can anticipate needs, juggle multiple tasks, prioritize responsibilities with little or no supervision, and deal with demanding clients and staff while maintaining a positive attitude. A focused and highly motivated self-starter that can support and organize Experts to be successful in this role. Ultimately, a team player who can help a rapidly growing team that continues to expand.

Administrative Support:

  • Anticipate: Proactively handle issues as appropriate, recognizing and/or anticipating problems and taking initiative to suggest improvements.
  • Ensures assigned individuals are executing the identified and assigned tasks and providing appropriate tracking and reporting per plan.
  • General Administrative Support:
    • Contact Management: Supports the practice leadership with contact management; keeps track of recent interactions and create reminders for appropriate follow-up activities.
    • Email: Review and proactively manage email communication for one of more Experts.
    • Schedule: Keep experts on-track and operating efficiently, manage schedules for multiple experts (to do list, internal meetings, client meetings, etc.).
    • Travel: Provide fast turnaround on cost-effective and accurate travel arrangements.
    • Expense Reports: Proactive follow-up after business trips, meetings, etc.
    • Time Entry: Proactively follow-up and enter.
    • Contact Management: Update and maintain extensive contact lists.
    • Meetings: Document practice meeting minutes and distribute to practice leadership with follow ups and to-dos.
    • Perform other duties as assigned.
    • Practice Business Management:
    • Staffing: Prepare weekly staffing and utilization reports, assist in identifying available staff for project needs using practice and firm resources.
    • Financial: Prepare monthly financial reporting package and analysis for practice leadership.
    • Billing and Collections: Work with BRG accounting team and practice leadership to prepare monthly invoices for engagements.

Marketing and Sales Support:

  • Meeting Preparation: Put together client pitch materials (firm overview, bio, and qualifications).
  • Client Relations: Coordinate scheduling (and rescheduling) meetings, dinners, events, etc.
  • Conference Meeting Coordination: Assist Experts in coordinating travel, in-person meetings, and conference events including coordination with conference vendors and industry associations.
  • Event Planning: Work with Experts to plan and execute local business development meetings and events.
  • Develops relationships with both clients and practice leads. Makes recommendations and reports to the experts on status of projects, priorities, meetings, and other areas of oversight.
  • Establish and maintain relationships with third parties/vendors and coordinate internal resources and third parties/vendors for the flawless execution of events and projects.
  • Research: In support of various project matters and practice business intelligence.

Qualification Requirements

  • BS/BA in business administration or a related field.
  • Minimum six (6+) years of experience in a project management or operations support role.
  • Experience in professional services (consulting) a plus.
  • Strong communication skills (both oral and written) and possess the ability to multi-task in an environment with rapidly changing priorities.
  • Excellent problem solving and interpersonal skills, with the ability to work independently and proactively seek guidance where appropriate.
  • Attention to detail and ability to follow through on assignments until results are achieved.
  • Ability to deal tactfully, courteously, and professionally with clients and internal colleagues.
  • Ability to deal with sensitive information and preserve its confidentiality.
  • Proven time management, project management and organizational skills required.
  • Demonstrated ability to work well under pressure and time constraints.
  • Strong research skills w/ability to summarize and communicate important details.
  • Intermediate to advanced computer skills including proficiency in MS Office suite and generally technical savvy.
  • Flexibility and willingness to occasionally work overtime is required.

Salary Range:$70,000 – $140,000 per year
