Capital Grants Coordinator

NYC Parks is an award-winning city agency that designs, builds, and cares for public spaces for New Yorkers to connect, play, and enjoy. NYC Parks manages more than 30,000 acres or 14% of the city’s land, encompassing more than 5,000 individual properties. Our diverse set of assets includes recreational facilities, nature centers, historic buildings and structures, golf courses, athletic fields, playgrounds, tennis courts, public pools, public restroom buildings, retaining walls and nearly 14 miles of beaches.

The Capital Division at NYC Parks is responsible for managing the design, construction, and administration of capital projects to expand, improve, and revitalize these public spaces. The Capital Grants unit plays a critical role in this process, as it is responsible for administering a portfolio of Federal, State, and private grants that fund NYC Parks’ capital projects and which total over $490 million in the Agency’s ten-year capital plan. From executing grant funding agreements through compliance and reimbursement to closeout, the candidate will have the opportunity to represent NYC Parks and serve as a primary liaison between multiple grantor agencies and design and construction project management staff.

Major Responsibilities
• Under general direction, with wide latitude for independent initiative and judgment, oversee and facilitate grant processes and ensure efficient and regular communication and reporting to grantor agencies.
• Administer a grant project portfolio, including advising and supporting project managers regarding grant program requirements, flagging and meeting critical requirements and deadlines, updating the grant management database, and coordinating submittal of required documents to grantors.
• Review and approve grant-related payment requests and change orders, track payments, and ensure that grant language is incorporated into bid packages.
• Oversee the preparation of required contracts, reports, and other documentation as necessary. Prepare grant closeout vouchers, documentation, and grants for completed projects.
• Serve as a point of contact for new and existing capital grants. Work with program staff to develop budgets and timelines as needed for grant applications and contract preparation. Advise staff on all matters relating to grant management to ensure compliance with applicable rules and regulations.
• Facilitate and participate in meetings with internal and external partners.
• Assist senior management with special projects as needed.

Minimum Qual Requirements

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one year of experience as described in “1” above.

Preferred Skills

1. Bachelor’s degree in Business, Finance, Public Administration or a related field.
2. Prior experience in grant management, nonprofit management, procurement, budgeting, accounting or financial services.
3. Proficiency in Microsoft Excel.
4. Excellent writing, communication, interpersonal, critical thinking, and organizational skills.
