Other Conditions: Casual Hire temporary appointment is expected to begin September 16, 2023 or soon thereafter. Not to exceed 89 days. Continuation is dependent on satisfactory performance, program needs and availability of funding.
Duties:
- Serves as administrative support for the Social Sciences Office including assisting the front desk, receiving appointments and walk-ins, answering/routing phone calls to appropriate staff.
- Enters data in the STAR and Banner online system for course creation, student registration, modification and overrides, as well as student record and registration information.
- Monitors, prepares, reviews and submits personnel and payroll documents; arranges for travel authorizations and reimbursements; researches and purchases supplies, equipment, and services; maintains and safeguards fiscal and personnel records and files.
- Assists in recruiting and onboarding student employees, including posting of student jobs on SECE, entering student data, assisting in completion of forms, reviewing timesheets, and SECE follow-up.
- Maintains and monitors internal accounting and fiscal records for general funds, special funds, external funds and UH Foundation funds.
- Assists Division with coordinating textbook requisitions, including Summer Session; receive information and requests, type book orders and desk copy requests for assigned departments. Coordinate desk/instructor copy order for assigned departments.
- Assist in preparation of special reports, project proposals, and analysis of program activities utilizing program data and information. Submit financial and fiscal reports to Social Sciences Division Chair upon request.
- Manages the correspondence for the Division; drafts memos and letters; sends routing acknowledgements in accordance with standing instructions; reviews outgoing correspondence for signature, clarity of format, typographical accuracy, conformance with procedural instructions, determines that necessary background material is attached.
- Assists with maintaining inventory and orders office supplies as needed, coordinating with the College Administrative Officer and Dean’s Secretary.
- Resolves operational and administrative matters in accordance with current policies, procedures, and directives as requested and uses independent authority to do so.
- Other duties as assigned.
Minimum Qualifications:
- Possession of a baccalaureate degree and one year of progressively responsible experience with responsibilities for business management or equivalent education/training.
- Experience using Microsoft Office, Excel and Work software.
Desirable Qualifications:
- Functional knowledge of KFS, eThority, eTravel, STAR and BANNER systems.
- Experience working with faculty and students in a higher education setting.
