Strategic Responsibility:

The Contracts Administrator, Publishing & Rights handles contract drafting and rights administration for the Learning Resources Group of the David C Cook ministry. This position supports and/or participates in communication and contract negotiations between key parties, reviews contract terms to identify any potential risk or compliance issues, examines supporting materials and provides guidance to ministry stakeholders to ensure each contract meets the objectives of the ministry, drafts contracts to acquire rights and license rights to books and other resources, and see contracts through the entire contracting process. The Contracts Administrator will work closely with team members in the Learning Resources Group to support their contract and rights-related needs, and will function within the Legal Department. This position will manage and maintain databases and oversee the rights and contract data management for the group, and will conduct research and provide reports and analysis as requested.

Job Description:

Under the oversight of supervisor, draft, edit, obtain signatures, store, and track company contracts, such as publishing agreements and related licenses. Obtain contract-related information from relevant parties, verify accuracy and identify missing data points. Serve as liaison between company stakeholders and other parties, including agents, assisting with contract negotiation as needed.

Review contracts and communicate potential risks involved with specific contract terms. Explain terms and conditions to managers and interested parties. Ensure that employees understand and comply with company contracts.

Ensure that all contract records are accurate and up to date. Implement and maintain organized system of physical and digital records. Lead data clean-up projects as needed.

Ensure all deadlines and conditions described on contracts are met (e.g. payments and reporting requirements).

Write contract letters and other communications and notices to other parties and agents.

Provide data on contracts for the ministry as requested and lead research projects with regard to contract rights.

Maintain and help develop systems for tracking rights associated with contracts. Assist supervisor in consolidating systems that store data related to publishing contracts and licenses. Provide reporting from systems when requested.

Stay up-to date with legislative changes and coordinate with the Legal Department to ensure contracts comply with state and federal laws and regulations.

Perform additional contract-related and other duties within the Legal Department as assigned.

Qualifications

Position Requirements:

Formal Education: Bachelors Degree or corresponding certification in business administration, contract management, paralegal or legal administration, business management or related field required.

Experience: 4+ years experience in a contracting administrative role. Contract drafting experience required. Previous experience preparing, examining, analyzing, negotiating, mediating, and revising contracts preferred. Experience with project management or coordination preferred. Experience with database management and project management tools preferred.

Specialized Knowledge/Certification: Exemplifies knowledge of contract essentials and database management. Possesses superior attention to detail and exceptional communication skills. Ability to work productively both independently and within a team. Excellent analytical and problem solving abilities. Possess strong organizational and time management skills. Experience with specialized contract managing software highly preferred. Knowledge of the publishing industry and/or international ministries also highly preferred.

Equipment Knowledge: PC skills, MS Office, proficient in Word, Adobe Acrobat, able to quickly learn specialized database system.
