Position Summary

The individual in this position has a wide variety of duties and responsibilities. This position works primarily at the La Plata campus. Some of the duties and responsibilities are fulfilled for all the campus libraries. The position supervises the circulation staff and student assistants in the La Plata campus library. The manager also performs all the duties of the supervised staff when necessary.

Specific Duties and Responsibilities
Essential Functions:

  • Supervises all the circulation services in the library
  • Coordinates the staffing of the circulation and ILL desk, ensuring adequate staffing for all hours of operation
  • Coordinates and provides for the opening and closing of the library
  • Ensures efficient work flow between the day, evening, and weekend staff
  • Supervises, oversees, and acts as a backup for all circulation staff including temporary employees and student assistants, providing all the duties and tasks of the circulation team as necessary
  • Ensures that all internal and external customers receive excellent service
  • Supervises the duties and tasks of the Library Specialist, monitoring transactions with vendors, procurement, college and library staff, monitoring the library budget, takes over the duties and responsibilities in the absence of the Library Specialist
  • Supervises the duties and tasks of the Library Assistants, monitoring transactions with customers, takes over the duties and responsibilities in the absence of the Library Assistants
  • Supervises the ILL duties and tasks of the Library Archive Assistant, ensuring the customer receives excellent service, monitors transactions with ILL suppliers, requests, and organizations, and provides ILL services to customers when needed, takes over the ILL duties and responsibilities in the absence of the Library Archive Assistant
  • Supervises, oversees and coordinates the acquisition, circulation, labeling, distribution, maintenance and processing of various materials including but not limited to reserve materials, DreamSpark software, periodicals, faculty/staff work-at-home software, faculty and staff laptops, ADA equipment and other collections as required
  • Supervises, oversees, coordinates and maintains the order of all library collections
  • Oversees, provides, and ensures adequate training of all circulation staff
  • Develop, create and sustain the online training-Blackboard, for Circulation staff training for all employees in the libraries on all campuses
  • Supervises the incoming and outgoing internal and external mail
  • Trains and supervises staff at all campuses on the reserve collection
  • Ensures that excellent clerical support is given to the reference librarians, Library Director, and others by supervised staff, temporary staff and student assistants
  • Maintains staff records for all circulation staff, temporary staff and student assistants
  • Revises and writes position descriptions as necessary, write merit appraisals, write interim appraisals and document and evaluate performance of circulation staff
  • Recruits and hires permanent staff, temporary staff and student assistants
  • Responds to all feedback about the circulation staff, and the library that pertain to circulation related inquires
  • Manages incidents in the library by overseeing, reacting and responding to all parties involved in the incident and following it to a resolution
  • Manages and maintains the Destiny circulation system for all campuses, developing and implementing policies and procedures, informs Library Director of problems related to the system
  • Maintains the reserve collection by processing reserve materials in the library system, updating and maintaining the reserve database and notebooks, and ensuring that reserve materials are sent to other campuses
  • Processes all the overdue and reminder notices to all customers for all campuses using the library system
  • Processes and maintains library restrictions in Colleague and Destiny for all campuses
  • Maintains the integrity of the tattletale security system
  • Compiles monthly circulation reports for the Library Director
  • Compiles monthly circulation statistics
  • Works with the Library director on problems, procedures, policies and staffing of the circulation desk, and the library
  • Initiates maintenance, withdraw, and replacement of lost, damaged and outdated materials from all collections in the library
  • Maintains circulation and library notebooks and guides
  • Troubleshoots problems and maintains office and library equipment, making appropriate repairs and adjustments or notifying the appropriate personnel of needed repairs or maintenance
  • Responsible for the maintenance of order in the Library, relating policies and procedures to staff and customers and notifying the proper personnel when appropriate
  • Supervise, initiate, implement, accomplish, and/or facilitate the cleaning, repair, maintenance, and upkeep of all the library collections and the physical library
  • Manages and maintains the Surpass software for periodicals
  • Work with the IMT web team on the on-line ILL web forms and the library online renewal forms
  • Responsible for installing, troubleshoot, maintaining the ID equipment and supplies on all campuses.
  • Work with the vendor for the maintenance and supplies for all ID equipment on all campuses.
  • Work with college personnel in the acquisition and use of the ID’s for faculty, staff and students at all campuses
  • Keep up to date with training on the ID equipment and train all permanent circulation staff on all campuses on the ID equipment
  • Performs circulation desk services and duties, using the Library Systems, Colleague and other systems as required
  • Provide efficient coverage at the circulation desk
  • Locate and obtain materials for students, staff, faculty and members of the community customers from multiple resources including internal and external sources
  • Demonstrate the use of equipment to customers
  • Contact customers for all matters relating to circulation using telephone, email, written and electronic communications and in person
  • Ensures that customers receive excellent service at the circulation desk referring them to the proper Library or CSM personnel when required
  • Provides informational/directional assistance to customers related to the library and the college, and external sources when appropriate
  • Discriminates between reference/research questions and informational/directional questions, providing the appropriate assistance or referring customers to the proper staff
  • Active in the planning process for the library, involved in mission statements, Quality Improvement Process, and Unit Assessment planning
  • Uses Colleague to establish customer’s ID’s, maintain Library restrictions, oversee the procurement process and budget, and use CROA for reports
  • Supervises the receiving and routing of faxes
  • Oversees the submission of work orders to facilities and the HELP desk for the LaPlata Library and ensures work is completed in an accurate and timely manner
  • Assists customers of the SMSC when their staff is not available
  • Maintains the ownership of GroupWise scheduling for the conference room in the library
  • Sorts and routs the incoming mail, ensures the outgoing mail is properly labeled and packaged
  • Cooperates with the SSC and helps students with the use of the study rooms in the LR
  • Cooperates with the other campus libraries, assisting them when appropriate.

Additional Duties:

  • Performs other related work as required.

Minimum Education and Training

  • Bachelor degree required
  • Three years full time or equivalent public service experience required, library and/or management experience preferred

Physical Requirements:

The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly.
