Description
Responsible for ensuring all civilian and sworn agency members are complying with the Florida Department of Law Enforcement (FDLE), statutory, and accreditation training standards. Incumbent must maintain and update all mandatory standards in conjunction with the accreditation unit and the FDLE Field Specialist. Incumbent is responsible for tracking compliance of all members, and entering all sworn members and instructor training records in the Automated Training Management System. Incumbent is responsible for being the training model DMS Coordinator, and ensuring all information is entered in compliance with agency policy, CJSTC and accreditation standards.
Responsible for maintaining a library of all approved agency training lesson plans. Incumbent must ensure all lesson plans are reviewed annually to ensure compliance with policy and accreditation standards. Maintain the Training SharePoint lesson plan page. Coordination of all sworn and civilian training programs. Coordinating instructors for training events, ensuring lesson plans, materials and training aids are available. Review post training instructor and course critiques and provide a summary report. Responsible for data entry of all training records. Ensure accuracy of all member training records, and ensure they are in compliance with agency policy and accreditation rules. Responsible for tracking and coordinating mandatory training attendance and reporting members who fail to comply. Generate, update and submit training statistical reports. Create, distribute training bulletins for in-house and hosted training courses. Answer and or direct assistance with phone-calls to training department. Provide customer service to Clay County Sheriff’s Office employees.
Incumbent is responsible for the coordinating of all internal, external, and hosted training coordination. Incumbent tracks all training and ensures paperwork is complete and tracked.
Incumbent is responsible for the coordinating and facilitating meetings with leadership. This position is a direct report to the Lieutenant of Training.
Duties
- Maintains library of all agency approved training lesson plans.
- Maintains training SharePoint page.
- Coordinate and track in-house, outside, and hosted training courses
- Locate and present potential outside training opportunities, then coordinate and facilitate approved courses for the affected members.
- Create/distribute training bulletins for all training.
- Responsible for maintaining compliance with all FDLE and Accreditation requirements for the agencies.
- Responsible for tracking all agency members’ annual in-service training, and making sure newly hired members are assigned proper training to stay in compliance.
- Responsible for tracking agency member state certifications utilizing FDLE’s Automated Training Management System (ATMS). Ensuring all members are notified of required retraining or recertification requirements.
- Responsible for tracking agency instructor’s credentials and compliance with ATMS.
- Administrator to PowerDMS Training Module, and compliance coordinator.
- Responsible for maintenance and course assignments within the PoliceOne on-line training site.
- Responsible for data entry of all training records and ensure accuracy of all member training records.
- Schedules employees for training classes/provides customer service to CCSO Employees, and tracking and reporting members who fail to comply with training requirements.
- Schedules/coordinates department training events, ensuring the location of the event is available and appropriate for the training, appropriate arrangements with outside service providers/guest attendees are completed if required; and notifies all participants of time, date and location in a timely manner.
- Liaisons with the necessary individuals/organizations and coordinates and/or participates in community service projects and/or special events in a manner that helps ensure the event meets or exceeds the specified goals and objectives while reflecting positively on the employing agency.
- Assists instructors in preparation for training events, ensuring lesson plans, materials and training aids are available.
- Drafts original correspondence/memoranda/forms or replies to correspondence received. As applicable, the member will also proof read and edit the final draft, and send the edited document to the appropriate personnel/agency in a timely manner for approval if required, in accordance with supervisory direction and agency policy.
- Maintains control of and follow-up on incoming correspondence/action documents to include request for training records and statistical reports.
- Completes all assignments and/or special projects to specifications as directed and within the specified timeframe, budgetary requirements (if applicable), and applicable agency policies.
- Responsible for submitting all requisitions through Docuware.
- Maintains and coordinates Training Section scheduling calendar, and ensures compliance/attendance.
- Performs other related duties as assigned.
- Coordinate the training of new civilian training members.
Qualifications and Requirements
- High school diploma or its equivalent.
- (3) year of relevant experience required.
- Proficient in Microsoft applications ( Outlook, Powerpoint, Execel)
- Proficient in administration of PowerDMS Software
- Proficient with Records Management Software(RMS/TRN)
- Proficient in utilizing FDLE Automated Training Management System
- Speak and understand the English language
- Proficient in Microsoft office products
- Internal candidates must have successfully completed their probationary period
