Duties and Responsibilities
Essential Duties and Responsibilities
The clerk must be able to follow standard office procedures and be responsible for college work-study employees, caring for and maintaining office and instructional equipment, maintaining accurate and complete records, and performing duties assigned by the faculty, Division Administrative Assistant, Dean of Arts and Sciences or Provost/Vice-President of Academic Affairs.
Characteristic Duties and Responsibilities
- Performs clerical/receptionist duties such as typing, mailing, maintaining required records, answering the telephone and taking messages, and greeting office visitors.
- Maintains supply inventory and contacts the different academic departments when instructional supplies are low.
- Maintains confidential files and records of college work-study employees.
- Keeps accurate property inventory records for classrooms, and department and faculty offices.
- Submits works orders for building, computer, and equipment maintenance.
- Maintains a room book of courses taught in the AAC building and reserves rooms as needed.
- Assists in scheduling substitutes for absent instructors.
- Supervises work-study employees, including interviewing and hiring, formulates work schedules, assigns duties, verifies work hours, completes performance evaluations, and provides training in-office procedures, policies, and operation of office equipment.
9. Performs other related duties assigned by the Division Administrative Assistant, Dean of Arts & Sciences, and Provost/Vice-President of Academic Affairs.

Required:
- High School graduate or equivalent.
Preferred:
- Some clerical experience
Knowledge, Skills and Abilities
- The clerk must be able to type with a high degree of accuracy, proficient in clerical skills and knowledge of office machines, and proficient in using microcomputer applications, Microsoft Word, Excel, PowerPoint, and Adobe Acrobat.
- The clerk should have advanced word-processing skills and be able to use advanced word-processing techniques to prepare quality documents.
- The use of microcomputer databases and spreadsheet application programs is required.
- The clerk must reflect appropriate office and telephone etiquette procedures and should be articulate in Spanish and English. In addition, this individual must have a cooperative attitude, be resourceful, and be a self-starter.
- They must be able to communicate effectively with students, campus visitors, and college staff.
- The clerk maintains office equipment, an efficient work area, and accurate records.
- This individual must possess effective office and time management skills.
