Description
Under direct supervision of the Office Manager II. The Clerk Typist is responsible for performing receptionist and clerical functions.
Examples of Duties
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Typing of forms, letters, payrolls and reports from rough draft.
- Typing of reports and narratives utilizing dictating equipment.
- Performance of a variety of general clerical tasks such as filing, preparation of reports, processing and distribution of mail.
- Manages agency records, handles records preparation and editing. Processes records releases according to state statues.
- Handles and maintains file imaging for the department.
- Act as receptionist, answer telephones, handle inquiries, and assist client walk-ins
- Handling of inquiries from medical vendors relating to eligibility and coverage of clients.
- Preparation of requisitions invoices and receipts.
- Preparation of payrolls, as well as related statistical and financial records and reports.
- Handle clerical detail for purchase and issuance of supplies and equipment necessary for the operation of the agency, and maintain inventory records.
- Acts as operators for copy machines and fax equipment when service is needed.
- Acts as a liaison with County Central Services processing.
- Performs data entry and verification of data for various programs following correct procedures. Uses various state internet based applications, county tracking system and databases
- Preparation and distribution of reports for use by supervisors and staff.
- Provides support to agency staff and program areas as directed, areas may include Social Work Units, the Aging & Disability Resource Center, Economic Support Programs, Juvenile Intake and fiscal tasks.
- Sending and receiving email messages.
- Issue FoodShare replacement cards as necessary.
- Assists in the training of new clerical employees.
- Post agency outgoing mail, following the United States Post Office regulations.
Typical Qualifications
Training, Experience and Other Requirements:
- High School Education or equivalent.
- Working knowledge of Business English and Spelling.
- Ability to type from clean copy, correct copies from corrected manuscript, as well as set up and type tabular statements.
- Ability to make computations and tabulations with skill and accuracy.
- Ability to understand and carry out oral and written instructions.
- Ability to meet the public.
- Must possess a valid driver’s license
- Unlimited access to a personal vehicle
- A minimum of $250,000/$500,000 auto liability insurance coverage verified upon hire and at renewal by providing a copy of the declaration page of your policy from your insurance carrier
- Willingness to utilize personal vehicle as necessary to perform job duties and responsibilities
