Description
Under the supervision of the Central Services Manager, trains staff in the use of the automated practice management system used for standardization of front office and medical records processes across the Ingham Community Health Center network. Serves as a primary resource for staff regarding registration and scheduling processes. Provides training on registration, scheduling, insurance eligibility databases, and medical records procedures.Identifies and corrects registration and scheduling entry errors. Maintains the electronic practice management system training manual. Develops and maintains scheduling templates. Receives and coordinates insurance audits across the health center network to comply with managed care plan and other insurance requests.
Essential Functions
- Grants access and provides training to new staff in the use of the practice management system. Arranges training times and develops training materials. Provides ongoing training to staff communicating changes, regarding the practice management system, complex insurance plans, and the reading and interpretation of various eligibility databases.
- Performs training for medical records staff on proper documentation relative to the practice management system’s HIPAA regulations (i.e. Protected Health Information log, Release of Information, and medical record storage and retrieval).
- Responsible for training medical records staff in processing paper and electronic files, both filing and scanning, ensuring efficiency and accuracy of the health record.
- Responsible for training staff on the Patient Portal, telehealth platforms, and insurance portals. Assists staff with accessing insurance eligibility platforms ensuring efficient and accurate registration processes.
- Responsible for developing patient management documentation paths for proper scanning and filing of medical records. Oversees the management of the electronic health record holding tank (i.e. Rosetta) ensuring accurate record matching of results to existing patient records.
- Supports Billing and Reporting by developing staff training materials for identifying appropriate insurance for patient registration. Trains applicable staff on the daily cash receipt summary, balancing report, transaction batch posting processes, and accounts payable. Develops and presents information to patient management system users on front office processes, including patient registration, patient payment responsibility, and accounts receivable to ensure front office procedures are followed, and offers explanations of changes as required.
- Conducts internal audits relative to front office processes to ensure proper procedures are followed, and offers explanations of changes as required. Responsible for participating in audits arranged with managed care plans or other external auditors as requested.
- Serves as a resource regarding the practice management system for staff, including registration processes and ongoing redesign of front office standardized legal documents.
- Maintains the practice management system procedure manual. Prepares and distributes updates to staff and provides assistance to staff in the maintenance of their manuals.
- Works with staff on updates and changes needed on electronic encounter forms and reports.
- Consults with Billing and Reporting Manager to review recent insurance updates and announcements from various sources to determine if new information will affect any training materials. Communicates procedure updates to appropriate staff and managers.
- Supplies staff with Internal Management Reports as requested.
- Responsible for performing a preliminary review of duplicate records as identified via a duplicate records report or upon staff request to merge records. Will direct all findings to their supervisor for further evaluation.
- Supports the balancing of month end reports, correcting errors, notifying the appropriate staff, and providing additional training as necessary.

Employment Qualifications
Education: High school graduation or equivalent, plus specialized medical billing and terminology training acquired in the first year of college, technical or business school.
Experience: Three to five years of customer service experience including analysis of client accounts and resolving client billing concerns, preferably in the medical insurance billing field.
