Clinical Records Technician-Release of Information

The Clinical Records Technician works closely with the supervisor and other members of the Records team to ensure an accurate and timely response relating to: the initiation of clinical records, scanning of clinical information, records maintenance and retrieval, records retention and destruction, requests for release of clinical information, and other duties involved in maintaining clinical information in the JMHC Records Room and clinical record storage facility. All clinical records responsibilities are performed in compliance with relevant statutes, standards, policies and procedures relating to the confidentiality of mental health and SUD treatment records. The Clinical Records Technician reports directly to the Clinical Records Supervisor with overall program supervision provided by the Director. RESPONSIBILITIES

  1. Working 20-hours a week
  2. Teamwork
    1. Participate in team decision making
    2. Assist in daily priority setting of tasks
    3. Assist in training of personnel
    4. Work closely with Records supervisor and Organization Support Manager on Records Retention/Destruction projects
  3. Records Systems
    1. Assist staff with clinical records
    2. Scan and file consumer information
    3. Maintain and ensure the protection of sequestered records
    4. Assist in chart audits and state review
    5. Assist in systems for storage of active and inactive clinical records
    6. Assist in special projects
    7. Identify retention and destruction of clinical hard copy records and microfiche
    8. Retrieve and re-shelve paper records (as needed)
    9. Release of Information
    10. Respond to questions regarding confidentiality and the process for release of information
    11. Process requests

QUALIFICATIONS
Degree/Licensure/Experience

  • Relevant medical/clinical records experience
  • Knowledge of confidentiality laws governing medical/clinical records
  • Knowledge of medical/clinical records and electronic health records
  • Good judgment, organization, and high degree of accuracy
  • Ability to work well independently, as a team member, and under pressure
  • Commitment to achieving cultural diversity and inclusion
  • Computer Proficiency
  • Possession of a valid driver’s license, a favorable driving record, adequate insurance (per WI law), and access to a vehicle with willingness to use for work

Preferred Degree/Licensure/Experience

  • Mail processing experience
