Guest Services Specialist

Job Summary:
This role will engage with Wisconsin Union members, frequent visitors, student groups, Wisconsin Union staff across departments, Campus and Visitor Relations, and UW Police at the Pyle Center and other Wisconsin Union facilities to create a network of communication and collaboration. This network is instrumental in enhancing the safety and welcoming of the Wisconsin Union.

The Guest Services Specialist proactively anticipates challenges and implements solutions. The role also investigates alarms and security concerns within a designated facility, operating under general supervision as needed. The Guest Services Specialist conducts safety tours and receives access requests and dispatches respondents for the designated facility, further emphasizing their role in ensuring security and controlled access.

The role will primarily be stationed at the Pyle Center, with occasional visits to other Wisconsin Union facilities, which include Memorial Union, The Union Terrace, Red Gym, the Tong Family Marina, Union South, Union South Plaza, the Orchard at Union South and other locations where Wisconsin Union events occur.
Responsibilities: Monitors and secures designated institutional property during special events to ensure the safety of students, staff and visitors. May assist with facility access requests and database maintenance.

  • 10% Monitors and operates lighting and air controls and security cameras in a designated facility
  • 15% Investigates alarms and security concerns in a designated facility under general supervision as needed
  • 15% Receives access requests and dispatches respondents for a designated facility
  • 40% Performs crowd control and patrols assigned facilities during special events
  • 10% Support & provide daily direction to student employees
  • 10% Provide customer service around the Pyle Center and other Wisconsin Union Facilities to patrons and groups, provides basic organizational information and routes more complex inquiries to the appropriate entities

Required:
-Experience in guest services and/or crowd management
-Proficiency in Microsoft Office suite

-Experience engaging and interacting with patrons daily

Work Schedule:
The work schedule for this role primarily encompasses day shift hours from Monday to Friday, with occasional commitments for special events.

Additional Information:
The Wisconsin Union operates from several buildings on the UW-Madison campus including Memorial Union, Union South, Fluno Center, Pyle Center, University Club, Red Gym, and the Student Activity Center. The Wisconsin Union is a financially self-supporting division of the University of Wisconsin-Madison. Financial support for the organization is provided by income earned by over thirty food service units and a variety of nonfood units such as games, guest rooms, space rentals and campus vending. Substantial support is also provided by student fees. The total annual organizational budget is approximately $60 million dollars.
