GENERAL STATEMENT OF JOB

Under the direction of the Chief of Code Enforcement, the purpose of the position is to organize, coordinate and supervise the administrative/secretarial work of the Code Department. Employees in this classification perform at line management level and are accountable for coordinating and supervising all office personnel to ensure accurate and efficient operation of all administrative activities within the department. Performs related work as directed.

Supervises, coordinates, trains, and evaluates the activities of the administrative staff to promote maximum efficiency, accuracy, and effectiveness of Division operations.

Supervises and trains routine to moderately complex administrative recording duties, e.g. recording and transcribing Code Board meetings; preparing duplicates for distribution to appropriate personnel; researching record files for requested materials.

Supervises records maintenance of individual code records with local, state, and federal agencies.

Coordinates purging and the retention of records, reports and related materials in accordance with State of Florida Public Records Law.

Screens and independently handles calls and visitors; receives inquiries, complaints, and provides information concerning the City’s and the department’s policies and procedures.

Schedules staffing, monitors activities, and enforces policies and procedures. Reviews, processes and tracks division overtime requests. Processes departmental payroll.

Screens and routes materials to appropriate staff etc., according to content of communications.

Performs various bookkeeping duties including overseeing all support services expenditures/requests; manages division purchasing and requisitions functions; assists in the management of the departmental budget.

Ensures the accuracy and timely dissemination of all Notices of Violation for the department.

Ensures information from various local, state, and national computerized criminal justice information systems is accessed and processed according to specific pre-established procedures, departmental guidelines, and regulatory requirements.

Ensures timely submission of required reports.

Reviews travel and education expenses of code personnel.

Maintains inventory of office supplies and equipment located in work area.

Maintains documentation of subordinate employee performance and prepares annual performance evaluations for assigned personnel.

Performs related duties as directed.

Minimum Training and Experience

MINIMUM QUALIFICATIONS

  • Bachelor’s degree
  • One (1) to two (2) years of increasingly responsible work experience in law enforcement or code enforcement records maintenance
  • One (1) year of supervisory/lead experience
  • Valid State of Florida driver license

Driving Requirements: The ability to drive and operate a personal or City vehicle intermittently throughout the work day or work week.

Physical Requirements: The ability to exert light physical effort to perform sedentary to light work, which may involve some combination of lifting, carrying, pushing, and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time in a stationary position.
