Position SummaryThe GSPP Communications and Outreach Coordinator manages the day-to-day execution of tasks related to marketing, communications, and events. This position will regularly update GSPP’s external and internal communication platforms including our website, social media, email newsletters, intranet, and Microsoft Teams. In addition, the position will support events, such as faculty candidate visits to campus, receptions to celebrate student and employee milestones, and faculty and staff meetings and retreats. Event support will involve all event logistics, start to finish – from sending invitations and reserving rooms and catering to creating event collateral and coordinating AV to leading day-of event staffing and Zoom support to follow-up emails. When event management is being provided elsewhere on campus, for example for larger conferences or fundraising events, this position will serve as the liaison to ensure success.

The Communications and Outreach Coordinator plays a critical role in fostering a positive climate among an engaged community. This position reports to the Director of Communications and Outreach, but will interact and serve on teams with many members of our community, including inspiring faculty, students and personnel across campus. This is a benefited position expected to work approximately 28 hours per week, with a variable schedule as needed to support evening or (rare) weekend events. The position is paid hourly, so if job duties require working additional hours in a given week, that time will be compensated. This position may increase to full-time if funding becomes available. The nature of events requires on-campus work, though some remote work is possible to complete other tasks.

Essential Functions

Communications Support

  • Manage daily communication tasks, including website updates and social media posts.
  • Regularly update internal communication tools such as the MyDU intranet and Microsoft Teams.
  • Provide customer service to faculty and staff with communication requests, including managing a departmental communication email address.
  • Manage or support internal and external email newsletters.
  • Provide formatting, editing, and proofreading support.
  • Write copy for newsletters, announcements, speeches, etc.
  • Design collateral and ensure the maintenance of GSPP’s brand identity through all activities.
  • Occasionally provide on-campus support, such as hanging flyers for student engagement.
  • Manage organization and retention of shared documents in online platforms in coordination with other GSPP staff and faculty.
  • Manage audience lists for communication in coordination with other GSPP staff.

Outreach Support and Event Management

  • Develop marketing and communication materials for promotion and follow-up of events, including event invitations.
  • Draft remarks, key messages, and event briefs for DU leadership and guest speakers.
  • Logistically manage GSPP’s in-person, hybrid, and virtual events. Depending on the event, this may be inclusive of event planning and content development, vendor relations and contracts, travel arrangements, run-of-show planning, on-site support, webinar creation and hosting, and post-event follow-up.
  • For other events with a campus event planner, serve as the GSPP liaison to ensure success and complete tasks as needed.
  • Manage GSPP’s internal event calendar, including meetings and retreats.
  • Ensure that events are accessible and inclusive for diverse populations.
  • Create and track event budgets and revenue expectations.
  • Manage invitation lists and reporting as appropriate for successful event production and follow-up.
  • Manage the purchase and storage of event-related materials and supplies.

General Operations

  • Promote diversity, equity and inclusion at GSPP.
  • Hire and supervise student employees to help with the tasks listed above.
  • Create documentation such as checklists to improve consistency and efficiency.
  • Cross-train with other staff to build organizational resilience.
  • Complete special projects and other duties as assigned.
  • Complete other duties as assigned.

Required Qualifications

  • 2-3 years of experience related to the essential job functions
  • A high school diploma or GED or equivalent

Preferred Qualifications

  • 4-6 years of experience related to the essential job functions
  • Bachelor’s degree or equivalent combination of education and work experience
  • Experience working with donors and/or high-profile guests
  • Experience working in a University setting or similar complex organization
  • Demonstrated experience promoting accessibility and inclusion
  • Design experience
  • Experience with software utilized by the University, including Salesforce, 25live, Drupal, and Anthology.

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
This is a benefited position expected to work approximately 28 hours per week. Some availability is required during DU’s business hours of 8:00am – 4:30pm, with a variable schedule as needed to support evening or (rare) weekend events.

Hourly Range:
The hourly range for the position is $24.00 – $26.50.
