Position Information
Under the direction of the assigned Supervisor or Manager, the Community Access Facility Coordinator will work to support the Out of School Time partnership. Tacoma Public Schools, the Metropolitan Park District, city government, and youth orientated-non-profits are collectively working together to ensure that all Tacoma children have access, exposure and opportunity for academic, social and emotional learning outside of school hours. The Out of School Time partners are committed to utilizing public spaces before, after school and during weekends to offer equitable and affordable arts, enrichment, science, nature, academic, fitness and sport programs for our Tacoma students.
This position is managed within the Office of Access and Reservations in the Whole Child- Out of School Time division at Metro Parks Tacoma. It coordinates the Whole Child reservation process and is the point of contact for the Out-of-School Time Intermediary (OSTI) to organize the partners and athletic activities that take place at the Tacoma School District (TPS) facilities and campus sites. Located on-site at TPS, this position is a hands-on position auditing and booking spaces at all facilities and campus sites. Performs related office duties, analysis of scheduling and monitoring of facility use.

CONTEXT AND MISSION: Tacoma School District serves approximately 30,000 students across the City of Tacoma spanning 69 miles and is focused around ensuring equity and access for all students.

Essential Duties

  • Assist Supervisor by providing input on business plans associated with the assigned program
  • Assist Supervisor by providing input on business plans associated with the assigned program.
  • Schedule all activities of the assigned program, which includes planning, coordinating, administering, and evaluating programs, projects, processes, procedures, systems, standards, and/or service offerings; checks with assigned Supervisor to ensure compliance with Federal, State, and Local laws, regulations, rules and/or standards.
  • Works with assigned Community Access Facilities Specialist to ensure the coordination of Field Trips for Beyond the Bell and Club B participants.
  • Assess completed activities for quality control and identification of improvement opportunities; monitors and creates Facility Use dashboards; ability to use various tracking mechanisms for the Out of School Time space.
  • Works with assigned Supervisor to provide data which will assist Director of Student Life and Community Recreation & Youth Services Manager in the implementation of a comprehensive Facility Use program.
  • Assists assigned supervisor with budget tracking and analysis; is able to communicate budget needs and makes recommendations.
  • Works with various partner agencies to ensure a smooth reservation process; is accountable to ensure consistency in process.
  • Works with internal team to develop and present trainings associated with Beyond the Bell and Club B.
  • Ensures clear and accurate communication with various TPS school building administrative staff, the Out of School Time Intermediary and various partner organizations regarding use of space.
  • Provides direct oversight of facility scheduling software, while monitoring use of TPS facilities and community users; ensures program is up-to-date with all facility use schedules balancing : internal school, district, athletics, maintenance use; and external partner/community use and required facility use documents.
  • Operates as liaison for MPT and Tacoma Public School partnerships with community agencies/groups and other school and related community organizations and events; focuses on the availability of TPS facilities, to meet community expectations and engagement.
  • Under the direction of the assigned supervisor, monitors program cost accounting; monitors budget expenditures according to assigned budget; monitors progress of, and maintains documentation.
  • Submits work orders when facility maintenance needs are identified at any of the scheduled TPS locations, during afterschool program time.
  • Under direction of assigned supervisor, monitors reports using database software; implements process to ensure the maintenance of database records as needed.
  • Ensures all organizations involved with OSTI receive facility training and manages communications to user groups should issues arise.
  • Under the direction of the assigned supervisor, compiles information on participation of students.
  • Determines equipment needs and monitors safety/security of facilities.
  • Responds to inquiries and/or complaints from the staff and public regarding facility use.
  • Maintains positive relationships with all partnership organizations and activity promotes collaboration.

OTHER JOB DUTIES

  • Serves as the department liaison with Technology Services at TPS; works with various providers in support of work being performed by the OSTI; participates in interdepartmental meetings at MPT and TPS.
  • Maintains and updates current knowledge and technical skills required for success in the position by participating in professional development activities as needed or as assigned.
  • Performs related duties as assigned, on a temporary basis.
  • Perform emergency first aid and CPR as needed and according to established guidelines.

Minimum Qualifications
Education and Experience

  • Bachelor’s degree in recreation program administration, community development, business or related field and a minimum of two years increasingly responsible recreation experience and/or experience in a field using technology. Four years of additional recreational or technology experience may substitute for college degree.
  • Experience in listening to community and responding to needs accordingly desired.

Licenses/Special Requirements

  • Current Washington State driver’s license.

Life Insurance: Provided at no cost to the employee through Unum, amount is equal to annual salary up to $200,000. Benefits will reduce at age 70.
