Construction Administrator Summary:
Provide administrative support to the operations department and field associates. Coordinate the flow of departmental paperwork throughout the office and deliver to the field associates to ensure that all documents required to construct and warrant the company’s product is achieved in an efficient manner.
Responsibilities
- Support manager and department with administrative duties.
- Maintain community files for permits, purchase orders and various categories of construction information.
- Initiate and distribute schedules of properties and maintain files for communities.
- Issue Notice of Completion forms as production phases are completed and give to escrow for recording.
- Update and distribute Production and Quality Control reports according to department schedule.
- Input and maintain homesite records on unit tracking software to include quality control and input start dates.
- Maintain and update Construction Manual. Produce finished manuals as needed for new hires.
- Liaison to Construction Managers. Responsible for procuring and distributing supplies and equipment for field offices.
- Prepare and distribute field office filing system (start package) for each new community and updating field homesite files for each new phase release.
- Copy soils and concrete testing reports and distribute to field.
- Coordinate permit fees with Permit Processor and request all checks from appropriate entities.
- Coordinate Construction Department meetings when requested.
- Perform all other duties as assigned.
Qualifications
- One (1) to two (2) years’ experience in construction industry preferred
- High school diploma or GED required
- Intermediate skills in Microsoft Word and Excel
- Strong communication skills, written and verbal
- Works well under pressure
- Capable of handling multiple tasks with simultaneous deadlines
- Maintain regular attendance and punctuality relative to daily work schedule is required
- Follow directions from a supervisor
- Interact well with co-workers
- Understand and follow work rules and procedures
- Detailed oriented
- Accept constructive feedback
- Team player
Physical Requirements:
This is primarily a sedentary office position which requires the ability to occasionally bend, stoop, reach, lift, move and carry office materials, equipment and supplies weighing 25 pounds or less. Finger dexterity is required to operate a computer keyboard and calculator.
