About the Job

We currently have an exciting opportunity for a Construction Procurement Coordinator to join our Tailored Brands Real Estate team. The Construction Coordinator will report to the Senior Manager of Store Design supporting the Design, Construction, and Maintenance teams with all procurement needs for all of our brands. This is a remote position however, with the ability to travel, if necessary, for onsite training after hire.

What You’ll Do | Key Accountabilities

  • Supports the Design, Construction and Maintenance Teams with all construction procurement needs for All Brands owned by Tailored Brands. {Men’s Wearhouse; Jos A. Bank; K & G Fashion Superstore; Moores (Canada only)}
  • Collaborate with Design and Construction Managers to create forecasted budgets for fixtures and procurement resources needed for upcoming projects based on annual CAPEX forecast, approved projects, and project initiatives across the All Brands.
  • Coordinate with National and International vendors to prepare, process, and execute Blanket Purchase Orders (BPO’s) for fixtures and materials required for forecasted inventory needs.
  • Maintain construction fixture and material inventories for pre-purchased materials.
  • Provide up-to-date costs for fixtures and materials to the Construction Team, based on current Design Directives per Brand, for project estimating.
  • Continuously review current vendor freight costs and services to provide options to reduce costs.
  • Develop close relationships with vendors to ensure timely responses to our requests, negotiated costs and reduced delivery/manufacturing timelines.
  • Assist in negotiations with on-boarding new vendors.
  • Review and maintain vendor contracts and billing documentation to ensure paperwork is error-free and up to date. (I.e., Non-Disclosure Authorization (NDA); Master Service Agreements (MSA), W-9’s, Insurance Certificates and Net Payment Terms)
  • Complete material take-offs from project plans and verify vendor provided take-offs to ensure accurate quotes and quantities from each vendor.
  • Prepare, send, and validate all required bids and quotes for Owner Furnished Items (OFI) from vendors on a per project basis.
  • Issue accurate and timely Purchase Orders (PO’s) and Change Orders (CO’s) to vendors as needed after receiving appropriate up-line approvals.
  • Process vendor invoices and monitor/maintain accurate reporting in project budgets.
  • Track Cash Flow reporting for all vendors on a per project basis
  • Assist the Construction Project Manager (CPM) with creating and updating the Project Delivery Schedule and manage vendors to ensure an on-time delivery.
  • Communicate with internal and external partners as needed with any delivery delays or receiving requirements to avoid onsite surprises or confusion.
  • Provide immediate support as needed to complete a project on schedule.
  • Support Maintenance by ordering any fixtures or other construction related materials as needed due to Maintenance Work Orders. In addition, coordinate communication between Procurement vendors and Maintenance Coordinators as needed (i.e., questions; warranty issues; delivery timelines and instructions)
  • Train all vendors to use our accounting software system for self-entry of quotes and invoices.
  • Research new products (pricing/quality/availability) as requested from Design and/or Construction.
  • As directed by the Design Manager, create, send, and tabulate RFP’s (Request for Price) as needed to support Design Directives for All Brands.
  • Complete the Project Closeout ensuring all POs and COs are paid out, final budgets are accurate, and the Cash flow is complete within 60 days of Project Completion.
  • Assist in uploading and maintaining Procurement e-files including current shop drawings, project plans, workbooks, and other required documents.
  • Review and maintain E-Pro for all Brands. Ensure current listings are valid and add new ones as needed. (E-Pro is a software system where store personnel can order replacement materials and parts as needed.)

What You’ll Bring | Skills & Experience

  • A bachelor’s degree or minimum of 3 years of experience working in procurement processing, Supply Chain management and/or Project Management.
  • An analytical, problem-solving personality with the ability to negotiate and build relationships with vendors.
  • Excellent verbal and written communication skills
  • Experience with cost analysis across multiple projects (i.e., cost comparisons, savings, averages, etc…)
  • Must be self-motivated and able to work independently without constant supervision.
  • Exceptional multi-tasking and time management skills, with the ability to prioritize tasks.
  • A quick learner with a positive can-do attitude
  • Able to build solid relationships with team members, vendors, internal customers.
  • Familiar with reading construction plans and completing take offs from plans is a plus.
  • Experience with research in finding products and vendors to help meet Design initiatives is a plus.
  • Computer Skills: Proficient with Microsoft Office applications (Excel, Outlook, Word, Power Point).

Work Environment, Physical & Mental Demands

  • Ability to sit and work at a computer keyboard for extended periods of time.
  • Must utilize visual acuity, speech and hearing, hand and eye coordination and manual dexterity necessary to operate a computer and office equipment.
  • Hours regularly 40 hours per week, as work dictates from a remote office location.

$55,000 – $85,000. We take into consideration an individual’s skills, background, and experience in determining final salary. Base pay information is based on market location and may be subject to prevailing wage laws, if applicable.
