Description
Under the direction of the Manager of Enrollment Management, the Coordinator performs a variety of activities to ensure the efficient and effective operation of the Department and helps to resolve difficulties encountered in the admissions and records process. This position interacts with faculty, students, staff, and the public by providing information, general assistance, and problem resolution. Related administrative duties are also performed. Limited supervision is provided and personnel in this classification are required to have specific knowledge of procedures and regulations relative to student admissions and records. This position reports to the Manager, Enrollment Management.
Examples of Duties
1. Identifies, places account holds, and communicates with “No Show” applicants, inactive students, and active students missing high school and/or college transcripts.
2. Evaluates incoming student transcripts from Florida colleges, processes records, and runs reports as requested. Notifies students of the results of a transcript evaluation. Processes outgoing student transcripts and record requests.
3. Contributes to the development and maintenance of admission policies and procedures to ensure the College is compliant with Florida Statutes, Florida Department of Education, accreditation agency, and any other regulatory agency.
4. Oversees student acceptance letters signed by the President.
5. Assists in maintaining the College’s electronic filing systems, procedures, and updates templates.
6. Assists the Manager of Enrollment Management in maintaining the records room by overseeing the hard-copy purge process and required Records Destruction forms. Ensures that changes to the Florida State Records Retention Guidelines are implemented as directed.
7. Processes applications that have been marked complete and rectifies any data entry errors.
8. Processes voids for non-payments and reinstatements as requested by the Business Office.
9. Enters student form requests, checks student files for completeness, and initiates letters requesting any missing documents. Ensures that student forms/requests are processed while adhering to the Family Educational Rights and Privacy Act (FERPA).
10. Applies holds as appropriate and determines reassignments of residency codes and duplicate records.
11. Assists students with residency requirements by reviewing supporting documentation and ensuring completion of their forms. Responsible for making residency determinations in compliance with Florida statute(s).
12. Answers questions concerning visas for admissions requirements and makes admissions determinations.
13. Supports enrollment services activities by providing complex problem resolution on issues related to admission, registration, and student records.
14. Assists the Manager of Enrollment Management in coordinating with other college departments to streamline processes and ensure compliance with College’s academic programs, support services, and admissions/enrollment policies and procedures.
15. Assists in performing student registration for non-credit courses including the review, input, and/or processing of various student records.
16. Under direction of the Manager of Enrollment Management, implements and processes waivers and exemptions to ensure compliance regarding new waivers and exemptions from the state.
17. Ensures all departmental forms are up-to-date and ADA compliant.
18. Recommends solutions related to admission, registration, and student records.
19. Provides a high level of customer service in person, email, and telephone. Maintains coverage for the enrollment counter, as needed.
20. Annually monitors and updates internal procedures for software that applies to the department.
21. Serves on College committees as requested.
22. Assist in College recruitment and retention efforts, as appropriate.
23. Required to attend and assist with Graduation/Commencement ceremonies.
24. Other related duties as assigned.

Education and Experience:
- Graduation from an accredited two-year college or university with an Associate’s Degree in a related field, required. Bachelor’s degree preferred.
- Three (3) years of progressively responsible experience involving administrative support work, preferably in the business field.
- Bilingual preferred.

The College contributes the current retirement percentage of the individual’s salary, and the employee would contribute the current retirement percentage based on their salary. Employees may choose the Pension Plan or the Investment Plan.
PAID TUITION – Tuition fees for credit courses taken at the College are waived for employees and their eligible dependents, including domestic partners. Tuition and student fees are waived for non-credit physical education courses. Contingent upon approval, $1,000 reimbursement is available each fiscal year through Staff & Program Development (S&PD), for completion of course work toward a degree which results in demonstrated benefit to the College.
