Position Announcement
Working under the supervision of the Director of Parking/Fleet Services and the Fleet Manager, coordinates the day-to-day operations of the university’s motor pool vehicles. Supports all university departments by coordinating the scheduling, maintenance, insuring, and registering of over 300 university vehicles, trailers, and miscellaneous equipment. Liaison to the University President for all vehicle needs. Serves as a key administrator to the Fleet Department vehicle database software program and the fuel EKOS database. Coordinator ensures that all university employees and students adhere to federal, state, and university regulations, policies, and procedures. Supervises part time motor pool technician.

Working Hours Monday- Friday 8 am to 5 pm
Summary of Responsibilities

  • Receives daily requests from email, phone calls, or directly from the customer. Ensures all vehicles are cleaned, serviced, and ready for scheduled reservations for the campus community. Coordinates requests for vehicle rentals through outside agencies. Resolves customer issues. Responsible for cleaning, fueling, and servicing the vehicle and golf carts assigned to the Office of the President.
  • Maintains Fleet Focus database. Creates operator accounts with driver licenses, enters work orders, processes all vehicle reservations, records training expiration dates, and enters fuel tickets in Fleet Focus database. Sends Defensive Driver Training and Large Van Training instructions to operators and enters results into database from weekly reports. Emails operators with invalid driver licenses on a weekly basis. Responsible for renewing registrations for all university vehicles and trailers annually. Oversees the administration of the DocuSign system and manages email account for the Fleet Department.
  • Educates faculty, staff, and students on reservation processes including completing the vehicle reservation form and the Motor Pool Contract, inspecting the vehicle for damage before operating, fueling the vehicle, and returning the vehicle.
  • Monitors GPS data for university vehicles and sends warning letters for speeding and personal use. Installs and troubleshoots GPS units in university vehicles. Creates/deletes fuel pins and fuel cards in EKOS database.
  • Performs other job-related duties as assigned.

Minimum Qualifications
Graduation from an accredited institution with an associate’s degree and two years professional experience in a related discipline or a combination of education and experience totaling four years.

Preferred Qualifications:
Knowledge of Fleet Focus software application.
Knowledge, Skill, and Abilities
Knowledge:

  • Knowledge of university and state fleet policies and procedures.
  • Knowledge of vehicle preventative maintenance scheduling.
  • Knowledge and experience working in an office environment.
  • Knowledge of Fleet Focus, EKOS, and Geotab databases.

Skills:

  • Skills in performing data entry and using computer applications including word processing, spreadsheets, email, internet.
  • Outstanding organizational skills with attention to detail and a great level of accuracy in work.
  • Exceptional customer service and phone etiquette.
  • Must meet and deal with people of diverse backgrounds.
  • Strong interpersonal, problem-solving and decision making skills. Skilled in organizing and entering work orders in a computerized maintenance database.

Abilities:

  • Ability to read, understand, follow, and enforce university fleet policies and procedures.
  • Ability to demonstrate professional demeanor and poise.
  • Ability to plan, organize, and coordinate multiple duties/priorities with minimal supervision
  • Ability to follow written and verbal instructions.
