Program Description
Housing and Essential Needs (HEN) is a statewide program and Catholic Community Services has contracted with King County to deliver the prevention services locally. HEN provides rental assistance, housing search assistance, transportation assistance, and other needed services to disabled adults who are homeless or at-risk of losing their housing. Over 1,800 people receive assistance through the HEN program in King County each month.
Position Description
The Operations Assistant tracks and resolves requests and issues for CCS/CHS staff using Clarity. This position works collaboratively with the Compliance Manager and Specialist to ensure clients are eligible for the program and we remain in compliance with our contract. Duties also include large outreach and mailings to eligible participants, CIC letters to current participants, BVS reports and other admin support duties for the HEN program teams as needed.
Responsibilities
- Ensure client records are kept in accordance with agency and program standards.
- Run BVS for 1400+ clients monthly
- Upload BVS to client Clarity profile
- Change BVS “last date of eligibility status” in Clarity
- Input additional client level data on a regular basis into various data collection systems following specific data entry policies and procedures.
- Administration work as assigned which may include updating databases, maintaining spreadsheets, organizing and archiving client files, writing meeting minute notes, etc.
- Manage large mail merge to current and prospective clients

- Attend trainings required of employees as scheduled.
- Participate as team member in staff and supervisory meetings as required.

- Observe/follow guidelines on confidentiality rights of clients and respect their privacy.
- Maintain accurate record of hours worked and turn in timesheets on schedule.

Job Conditions
This position requires the employee to work in an environment where there may be exposure to blood, bodily fluids, and other potentially infectious material. Other exposures could include cleaning supplies, chemicals involved in pest control, pain and other materials used in building maintenance. Working conditions may include interruptions, interactions with upset people, and exposure to computer CRTs.

- Able to hear telephone rings, phone conversation, doorbells, emergency alarms and face-to-face conversation.
- Able to speak clearly in person and on the telephone.
- Able to hand write legibly.
- Vision that enables person to read normal size print and handwritten notes; and distance and peripheral vision than enables person to monitor large space and identify concerns that require staff response.
- Mobility/dexterity of hands/arms to enable keying into locked areas as well as using a computer and other office equipment.
- Able to sit for sustained periods of time.
- Able to walk the entire building and ascend and descend stairs quickly to move from one floor to another in order to respond to emergency situations.
- Ability to lift, move and/or carry up to 40 pounds.
- Able to make independent decisions and apply sound judgment in performing job duties.
Qualifications
- At least six months of experience working as part of an administrative team.
- At least one year of direct experience in a shelter or other social service programs, including knowledge of homelessness, mental illness and addictions.
- Demonstrated experience working with volunteer, donors and/or community relations.
- Understanding of women’s issues, harm reduction, and housing first.
- Ability to communicate with staff and clients from a strength-based style for positive resolution.
- Demonstrates the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in multi-cultural situations.
- Outstanding interpersonal skills and a demonstrated willingness to cultivate relationships.
- Ability to meet 24/7 demands at multiple sites.
- Ability to multi-task and perform under pressure.
- Ability to effectively prioritize many tasks in a busy work environment.
- Ability to work independently and as a team member.
- Work history that demonstrates reliability and dependability.
- Valid Washington State Driver’s License and ability to qualify as an acceptable driver under CCS policy for driving an agency vehicle.

- Understanding of food safety and Public Health requirements for meal and/or foodbank programs.
