Campus-wide advising & career services communications coordinator

Job Summary:

The Office of Undergraduate Advising (OUA) seeks a creative, collaborative, and organized communications professional who is committed to diversity, equity, inclusion, and justice. The Communications Coordinator will take a lead role in ensuring relevant resources, programs, and priorities are effectively communicated across varied platforms, primarily to an audience of UW-Madison academic advisors, career services professionals, and learning support staff. The Communications Coordinator will also support campus-wide career services communication to students. The Office of Undergraduate Advising supports centralized advising, career services, and learning support functions at UW-Madison, and this person will report directly to OUA’s Assistant Director of Campus-Wide Communication.

This position will collaborate with members of the OUA team, primarily supporting training and professional development opportunities for academic advisors, career services professionals, and learning support staff through email marketing, presentation creation, speech writing, and other means of outreach. The position will also support OUA’s online presence through ongoing maintenance of several websites (including advising.wisc.edu, advising.wisc.edu/facstaff, careers.wisc.edu) as well as management of several OUA-owned listservs.

The Office of Undergraduate Advising (OUA) was created in 2011 and serves UW-Madison students and staff. This is done through equitable, inclusive, and innovative support of staff wellbeing and success as well as advising, career development, and learning support services for students. OUA is responsible for training, communication, assessment, advocacy, and technology servicing for campus-wide advising, career services, and learning support communities. OUA also houses units that provide direct advising, career services, and learning support for undergraduate students. These units are: Cross-College Advising Service, Career Exploration Center, Pre-Professional Advising (Centers for Pre-Health and Pre-Law Advising), Undergraduate Academic Awards Office, Greater University Tutoring Service, and the UW Online Degree Academic & Career Coaching Services.

This position reports to the Communications Manager.

OUA is part of the Division for Teaching and Learning (DTL) along with the Center for Teaching, Learning and Mentoring (CTLM), the Morgridge Center for Public Service, the Wisconsin Institute for Science Education and Community Engagement (WISCIENCE), and the Student Learning Assessment (SLA) office.

Anticipated Start Date: May 21, 2023

Responsibilities:

Develops and drafts communication content and assists in the execution of the communications strategy in support of unit communication goals.

  • 15% Monitors reach and effectiveness of communication campaigns, projects, and initiatives
  • 15% Plans editorial content according to established goals and objects
  • 25% Communicates with stakeholders to verify requests and identify editorial resources
  • 25% Writes, edits, and publishes content for various communication projects and marketing platforms to align with strategic initiatives and established communication campaigns
  • 15% Provides project management and execution of communications programs, initiatives, and tactical plans
  • 5% Demonstrate commitment to ongoing learning around diversity, equity, and inclusion, and applying that knowledge to your work.

Tasks:

  • Generate and support communications efforts to connect advisors, career services professionals, learning support staff, and other UW-Madison staff to information and resources
  • Implement updates to websites managed by the Office of Undergraduate Advising
  • Monitor listservs managed by the Office of Undergraduate Advising
  • Generate marketing & outreach materials in support of training & professional development opportunities for advisors, career services professionals, & learning support staff. (incl email marketing, speech & presentation creation, & digital promotion)
  • Support and execute campus-wide student-facing communications initiatives related to career services in partnership with colleagues in and beyond OUA
  • Support communications and outreach needs for initiatives and gatherings focused on Diversity, Equity, Inclusion, and Justice
  • Support communications and outreach needs for the annual Advising & Career Services Conference
  • Support communications needs for Student Orientation, Advising, and Registration (SOAR), including creating and updating digital and print outreach materials
  • Collaborate with other campus communications professionals, including the Office of Undergraduate Advising, Division for Teaching & Learning, and Student Affairs
  • Foster a positive and inclusive organizational climate and culture
  • Proactively engage in on and off-campus professional development opportunities
  • Other duties as necessary

Education:

Preferred
Bachelor’s Degree in any field. An Associates with an emphasis in communication will be considered in place of a Bachelor’s degree.

Qualifications:

– At least one year of communications-related work experience (internship or professional experience OK)
– Personal and/or professional experience that demonstrates a commitment to fostering and promoting diversity, equity, and inclusion
– Experience with varied communications tools, such as Canva, WordPress, MailChimp, or Eloqua, with a proven ability to quickly learn new skills
– Experience taking initiative and independently managing multiple projects and priorities

– Experience working in team environments, with an appreciation for varied perspectives of colleagues
– Exceptional written and verbal communication skills, with ability to speak to various audiences.
– Ability to discern reliable sources of information
– Ability to ask good questions & gain feedback from colleagues and community members
– Ability to work full-time, on-site at UW-Madison and remotely on an as-needed (e.g. related to public health guidelines; UW-Madison equipment will be provided)

Appointment Type, Duration:

Terminal, 24 month appointment.

This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding.

Salary:

Minimum $50,000 ANNUAL (12 months)

The starting salary for this position is $50,000 but is negotiable based on qualifications. There is an opportunity for occasional remote flexibility with this position.
