The Department of Business and Professional Regulation licenses and regulates more than one million businesses and professionals in the State of Florida, including accountants, architects and interior designers, asbestos consultants, athlete agents, auctioneers, barbers, building code administrators and inspectors, community association managers, construction contractors, cosmetologists, electrical contractors, employee leasing companies, geologists, home inspectors, landscape architects, mold assessors and remediators, pilot commissioners, real estate appraisers and brokers, and veterinarians, as well as businesses dealing in alcoholic beverages, tobacco, food service, public lodging, pari-mutuel wagering, and condominiums, timeshares, and other cooperative residential arrangements. The Department’s mission is to license efficiently and regulate fairly. The Department is headquartered in Tallahassee, Florida, and maintains field offices for regulatory programs throughout the state. More than 1,600 team members support the daily regulatory objectives of the Department.
This is a highly responsible position in the Office of the General Counsel that will work under the direction of the Senior Legal Assistant for the Division of Drugs, Devices and Cosmetics Legal Unit. This position will assist Division attorneys in enforcing chapter 499, Florida Statutes, to prevent fraud, adulteration, misbranding, or false advertising in the preparation, manufacture, repackaging, or distribution of medical drugs, devices, and cosmetics in the State of Florida. The Division’s enforcement actions help to safeguard the public health and promote the public welfare by protecting the public from injury by product use and by merchandising deceit involving drugs, devices, and cosmetics. For this purpose, Florida law is administered in conformity with the Federal Food, Drug, and Cosmetic Act and regulations issued thereunder. This position will be responsible for providing comprehensive administrative and legal secretarial support to the attorneys and Senior Legal Assistant.
We are seeking a highly motivated individual who is able to follow instructions, communicate effectively, use correct grammar, prioritize work assignments, use a personal computer, establish and maintain effective working relationships with others, work independently, pay attention to detail, take initiative, and consistently meet deadlines.
Minimum Requirements:
- High School Diploma/GED; and
- 0-1 years legal secretarial or administrative experience; and
- Knowledge/experience of Microsoft Word, Outlook and Excel.
Position Notes:
- This position will be located in Tallahassee, Florida;
- Preference will be given to those with working knowledge of OnBase, Versa:Regulation (or similar software), and Adobe Acrobat Professional.

Duties and Responsibilities:
Under the direction of the Senior Legal Assistant, the incumbent of this position will be required to perform in a highly responsible manner in providing administrative and legal secretarial support to the Division of Drugs, Devices and Cosmetics Legal Unit (DDC Legal).
Duties include, but are not limited to:
- Prepares and maintains highly complex legal documents and correspondence, including drafting correspondence/motions/notices/orders/affidavits;
- Prepares cases for presentation informal agency proceedings, the Division of Administrative Hearings, and other judicial forums;
- Maintains accurate schedules and calendars for assigned attorneys, scheduling meetings and appointments and keeping attorneys apprised of upcoming meetings and deadlines;
- Tracks, updates and maintains cases in the department’s document and case management systems and ensures cases are kept in an organized and comprehensive manner;
- Assists attorneys with hearing and trial preparation by preparing exhibits and trial binders;
- Provides back-up support to the Senior Legal Assistant during periods of absence or peak workload;
- Provides status reports on work request files to the Director of Drugs, Devices and Cosmetics, and other Division personnel;
- Prepares outgoing mail and processes incoming mail;
- Researches case law, legislative histories, databases and other assigned legal research;
- Prepare travel for assigned attorneys, including making reservations and accommodations, preparing authorizations to incur and vouchers for reimbursement;
- Assists with phone coverage for the unit as well as for the main switchboard of the Office of the General Counsel;
- Copies, scans, faxes or reproduces documents as directed;
- Performs other legal secretarial, administrative or clerical duties as directed by the Senior Legal Assistant or as needed to ensure the success and organization of the DDC Legal Unit.
- Maintain positive working relationships with the Division of Drugs, Devices and Cosmetics (DDC), which includes Division staff and investigators, other units within the Office of the General Counsel, and with the Agency Clerk’s Office.
- Performs other duties as assigned, including assisting peers or supervisors when needed or requested. This includes willingness to perform other duties that may arise and do not necessarily fall precisely within the current job description, but under related responsibilities of the office.
Knowledge, Skills & Abilities:
- Knowledge of Microsoft Office Suite, specifically Word and Outlook;
- Knowledge of law and legal procedures;
- Knowledge of office procedures and practices;
- Knowledge of methods of data collections;
- Ability to interpret and apply Florida Statutes and the rules of the Florida Administrative Code
