Job Description

The School for Engineering of Matter, Transport and Energy (SEMTE) in the Ira A. Fulton Schools of Engineering is seeking to fill the position of Department HR Specialist Senior. Under general supervision; this position will manage and perform work of considerable responsibility in administering human resource functions in a complex academic unit with significant research and instructional emphasis. The successful candidate must be skilled in maintaining effective working relationships among a diverse population, able to provide excellent customer service, skilled in handling confidential and sensitive information, and work effectively in an environment subject to quickly changing priorities with previous HR experience. This position requires knowledge of electronic data processing and applications as it applies to human resources, knowledge of academic and university policies and procedures, and must be skilled in the ability to identify and implement best practices and procedures.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse
  • Required to stand for varying lengths of time and walk moderate distances to perform work
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
  • Ability to clearly communicate to perform essential functions
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop(keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals

Minimum Qualifications

Bachelor’s degree in a field appropriate to the area of assignment AND five (5) years of related administrative experience, OR, Nine (9) years of related administrative experience, OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Demonstrated knowledge of human resource practices, regulations and standards
  • Experience in processing payroll transactions
  • Experience with BrassRing
  • Experience with PeopleSoft
  • Experience working in a higher education environment
  • Experience in an HR generalist role including recruitment, compensation and leaves experience
  • Experience in developing and maintaining cooperative working relationships both within and across organization
  • Experience working effectively and collaboratively with faculty, staff and students
  • Experience using Microsoft Office applications (i.e., Access, Excel, PowerPoint, Word, and Outlook)
  • Experience in processing and managing H1-B, OPT,TN, J1 and F1 visas
  • Evidence of effective communication skills
  • Experience in planning and establishing priorities
  • Experience in working effectively in an environment subject to quickly changing priorities, sensitive/confidential information and short deadlines

Essential Duties

  • Coordinates and manages personnel searches including applicant evaluation and hiring
  • Utilizes BrassRing to manage and process staff hiring
  • Processes a heavy volume of payroll transactions in Peoplesoft for new and existing employees which includes processing and approving academic and non-academic hires, renewals and terminations
  • Coordinates staff and faculty visa applications and renewal processes, as well as the permanent residency process
  • Manages hiring of faculty associates, grads and graders
  • Coordinates processing faculty summer pay, assist with management of summer pay experience.
  • Manages new faculty and staff onboarding
  • Coordinate staff leave of absence and FMLA requests
  • Coordinates the submission of Out-of-State Employee forms
  • Identifies overpayments/underpayments for appropriate action and processes and approves payroll corrections
  • Coordinates payroll reconciliation and audit documentation process
  • Assists in managing human resources processes, procedures and internal controls for SEMTE
  • Monitors mandatory training for faculty, staff, academic professions, and graduate students
  • Supervises staff and student workers
  • Recommends or participates in the development of new procedures or review existing procedures for SEMTE HR
  • Serves as back up to HR Specialists and HR Manager
  • Performs other duties as assigned to ensure continued efficient operations of the school to meet customer service needs
  • Represents the school and serves on various school and University committees
