Description
Being the Development Administrative Assistant,you will beresponsible for providing administrative support for all Development Department activities. The Development Administrative Assistant will perform administrative duties related to fundraising activities, manage a small portfolio of donors, coordinate with the Database Administrator to ensure accurate donor and financial entries, and serve as the agency liaison for the HAWC Young Leaders program. This role will support the Development Department in strategic planning to increase the capacity of a growing non-profit organization.
Your Schedule:
- Full Time
- Monday – Friday from 9 am – 6 pm or 8 am-5 pm
- **Flexibility in schedule, nights, and weekends as needed.
- Work Model: hybrid
- Local Travel: 50%

- Starting Pay Rate: $20 per hour

Qualifications
The Requirements We are Seeking:
- High School Diploma or equivalent
- A minimum of two years of experience in a supportive administrative role or within fundraising.
- Non-profit experience, preferred.
- Intermediateproficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook, and Teams).
- You have a valid Texas driver’s license with a good driving record; reliable transportation; ability to travel to off-site locations utilizing personal transportation.
What you Deliver in this role:
- You fieldall external inquiries (phone and email) about donations, including monetary and in-kind (including management of the vehicle donation process).
- You assistthe Chief Development Officer with all administrative tasks, including but not limited to calendar, mailings, letters, emails, and logistics.
- You assistwith various logistical components of HAWC events and campaigns in collaboration with team members and other agency staff.
- You serveas the liaison to the HAWC Young Leaders (HAWCYL) group including attending board meetings and facilitating HAWCYL activities.
- You assistwith the collection of auction/raffle items for events up to and day of the event.
- You staff tables/booths at external/internalgatherings.
- You coordinateall department meetings, including compiling agenda items, ensuring meeting room setup, and taking, maintaining, and distributing meeting minutes.
- You manageall subscriptions and vendors for the department.
- You codeall invoices in the agency’s accounts payable system.
- You maintainaccurate and organized constituent and donation records within the Raiser’s Edge donor management system according to the department’s established naming conventions.
- You coordinateCommunity Partner Events (CPEs) including follow-up on revenue receipt.
- Other duties as assigned.
