Development Database Manager

Currently, we are seeking an Database Development Manager to join our team. The Development Database Manager (“Manager”) plays an instrumental role in the Development department. Reporting to the Director of Individual & Planned Giving, the Manager oversees the day-to-day and long-term operations of the fundraising database and other related software applications while assuring its quality, consistency and accuracy.

ESSENTIAL FUNCTIONS

  • Maintains an accurate Raiser’s Edge database (or comparable database) for the Development department.
  • Responsible for oversight of all database functions, including data entry, gift processing, lists, statistical reports and analysis.
  • Ability to identify, investigate, analyze, organize and evaluate information yielded from a variety of sources (electronic and print) to determine a donor prospect’s financial capacity, ability to give, philanthropic interests, and relationship to the Asian Art Museum. Prepares prospect reports that summarize and synthesize data and other critical information to be used in creating and cultivating fundraising strategies.
  • Ensures timely entry of gifts and the accurate reconciliation of contributed income and earned membership revenue on a daily, monthly and annual basis.
  • Establishes, improves and maintains systems, policies and procedures to ensure the integrity of all biographical and financial data in the fundraising database, including standardized coding, processing, and reporting policies; evaluates and updates these policies as necessary to ensure best practices.
  • Responsible for membership renewal extractions, membership acknowledgement files and magazine mailings.
  • Tracks all Contributed Revenue streams and creates financial revenue reports.
  • Develops and enforces data entry guidelines to ensure data quality and consistency; provides support and training in use of the application, including orientation for new staff and specialized training in response to changing roles, improvements in business processes and database functionality.
  • Represents the Development department in matters relating to institution-wide technology issues; serves as liaison with the fundraising software vendor to ensure proper management and execution of database tasks, use of best practices and implement version updates; coordinates the purchase of, or maintenance and upgrade of fundraising related applications with the Information Technology department.

POSITION DESCRIPTION

  • In collaboration with gift officers, identifies potential major gift donors by using creative research and mining techniques, largely of the museum’s fundraising database, and electronic searching methodologies to ensure that museum-wide initiatives have sufficient prospects to meet fundraising goals.
  • Generates prospect lists for project-related requests and coordinates electronic screening process.
  • Creates a variety of ad hoc reports for the Development department utilizing the data housed in the Raiser’s Edge database (or comparable database).
  • Accomplishes department objectives by supervising staff and organizing and monitoring work processes.
  • Maintains staff by recruiting, selecting, orienting, and training employees and developing personal growth opportunities.
  • Completes operations by developing schedules, assigning and monitoring work, gathering resources, implementing productivity standards, resolving operations problems, maintaining reference manuals, and implementing new procedures.
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies.
  • Establishes and nurtures strong working relationships with museum staff, colleagues from other institutions, consultants, and vendors.
  • Performs other duties and projects as assigned.

QUALIFICATIONS

  • Understanding of fundraising principles and practices including familiarity with financial standards and IRS regulations related to charitable giving; knowledge of best practices related to donor confidentiality and security policies.
  • Competency with Raiser’s Edge software strongly preferred; excellent overall computer skills with proficiency in Microsoft Office and other related applications; experience with wealth screening systems.
  • Excellent organizational skills including the ability to identify priorities, work independently, meet deadlines, and use logic and analysis to solve computer software problems; demonstrated analytical, mathematical, and problem-solving skills.
  • Excellent research, planning, conceptual, and strategic thinking skills
  • Strong qualitative skills; ability to translate staff requests into meaningful reporting.
  • Knowledge of ethics statements by APRA, Council for Advancement and Support of Education (CASE), and other related associations.
  • Strong oral and written communications skills; solid interpersonal skills, with ability to work with a team to solve problems; flexible and resourceful.
  • Ability to work well with staff, volunteers, members, and the general public; provide excellent customer service to both internal and external customers; respond to the needs of a fast-paced work environment; demonstrate leadership and initiative.
  • Ability to maintain discretion and ensure confidentiality of information.
  • Ability to train, direct, supervise, and evaluate staff; work effectively with colleagues, donors, volunteers, members, and the general public; provide consistently excellent customer service to internal and external customers.
  • Must be able to communicate clearly in writing and verbally with staff who are atvarious levels of computer proficiency.
  • Ability to supervise, direct, mentor, and evaluate staff.
  • Ability to manage and improve a system of internal controls in a growing/changing organization.
  • Ability to work independently as well as collaboratively; establish and maintain cooperative and effective working relationships with a variety of representatives of public and private organizations; City and County representatives; museum staff and the general public.

PREFERRED QUALIFICATIONS

  • Three (3) years of progressively responsible database experience utilizing Raiser’s Edge fundraising software; or a similar constituent database and an equivalent combination of education, training, and experience.
  • Demonstrated experience in prospect research, development, library research or information related field. Knowledge of the range of resources available to prospect researchers and the ability to apply those resources in an organized and purposeful manner. Willing to train the right candidate on prospect research.

COMPENSATION

The Asian Art Museum is committed to practicing salary transparency. The minimum salary for this position is $70,000 and the maximum salary is $85,000. Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education, experience, the external labor market, and internal equity. This opportunity includes a generous benefits package, including but not limited to:
