Job Description:
Responsible for planning, coordination, and oversight of building support services, and union programming of J. Wayne Reitz Union, and Newell Hall
- Recruit, train, supervise, and evaluate all Reitz Union operations and program staff, establishing work priorities and workflow, developing strategic goals relevant to the areas
- Responsible for implementing and maintaining effective and efficient building maintenance and housekeeping operations, including ensuring appropriate staffing levels through effective hiring, training, and supervision; and comprehensive operational procedures, safety standards, and quality controls
- Responsible for the development, maintenance, and distribution of a comprehensive and up-to-date facilities operations manual; ensure enforcement of policies, procedures, and guidelines including safety standards, quality work standards, work order management, and handling of hazardous materials; develop and implement specific training programs for staff as needed
- Develop and maintain an up-to-date master plan for building maintenance and cleaning, including a schedule for routine and preventive maintenance functions; provide oversight and ensure effectiveness and efficiency in housekeeping and maintenance functions including special projects and contract work
- Responsible for development, maintenance, and oversight of an effective and efficient internal work-order system for building repairs, modifications, and related projects
- Responsible for developing specifications for the purchase of goods, services, and equipment for maintenance and housekeeping operations; gathering information, making cost and quality comparisons, and ensuring appropriate decisions based on evaluation of relevant information
- Responsible for contract-related procurement procedures for equipment and services, including preparation and review of contract documents for services by external vendors including maintenance service agreements; ensure compliance with department and university purchasing procedures and guidelines
- Develop and maintain an inventory management plan for building equipment and furnishings, including written maintenance, repair, and replacement history and life cycle projections
- Develop and manage an effective strategy for coordination and collaboration between all building operations and support functions (specifically, event services including productions and audiovisual support, housekeeping, maintenance, and after-hours building management) ensuring seamless operations and customer services at all times
- Responsible for leading programs and services operations team in union programming efforts in collaboration with other UF departments or academic units
- Ensure compliance with safety standards, OSHA, ADA, and other relevant regulations at all times
Responsible for the development and coordination of building services procedures including safety and security functions
- Responsible for development, review, and coordination of up-to-date building safety and emergency procedures, including but not limited to building evacuation procedures and the Continuity of Operations Plan; ensure compliance with university guidelines and standards
- Serve as primary liaison between JWRU and university departments related to safety and security, including but not limited to Environmental Health and Safety, Fire Safety Officer, and University Police Department; participate in university-wide training on safety and emergency procedures; communicate information to department personnel and building occupants as appropriate
- Serve as primary contact and liaison for building occupants (administrative units, department partners, student organizations) for facility operations-related needs; facilitate regular building meetings and other communication methods as needed
- Responsible for development, maintenance, and distribution of a comprehensive facility operations manual including emergency procedures; ensure enforcement of all policies, procedures, and guidelines
- Develop and implement specific training programs on building operations procedures for department staff and building occupants as needed; plan and coordinate regular building emergency evacuation exercises and other emergency practice drills
- Develop and maintain the list of essential employees for the department; provide appropriate information and training to essential employees
- Responsible for leadership and direction for the building emergency and crisis management coordinating team
- Responsible for development and implementation of operating procedures for Emergency Shelter operations as long as the building is designated as an Emergency Shelter; communicate and coordinate with shelter management personnel as needed; ensure training of staff on shelter operations
- Responsible for the building Key Control System and overall building security; develop and maintain a tracking system, policies, and procedures for issuing and return of keys for staff, building occupants, and others as needed
Responsible for student union projects and contract work as directed
- Responsible for coordination of planning, design, and oversight of major construction and renovation and minor building modification projects as needed; responsible for the preparation and/or review of plans, specifications, drawings, and other documents for projects as directed
- Serve as liaison and primary contact for architects, Environmental Health and Safety, contractors, and other entities as needed for building projects
- Monitor and ensure code compliance and high-quality standards for all work
Provide oversight for the Building Automation System (BAS) and Information Technology Services in the department
- Be knowledgeable of the BAS operations, functions, monitoring, troubleshooting, and appropriate systems interfaces; responsible for the operating system to ensure proper set points to achieve desired comfort levels and system efficiency
- Monitor system performance and provide management reports; make modifications to the system as needed based on system performance data
- Ensure appropriate staff are trained in system operations and monitoring; maintain appropriate training and operations manuals for system
- Serve as liaison to the Division of Student Life, the Department of Housing and Residence Education, and other departments as needed for information technology coordination
- Responsible for ensuring an ongoing strategy to maximize the use of technology, including databases, web applications, and other software applications
- Ensure user-friendly accessibility and navigation, accuracy, and visual appeal for the department’s web presence
- Establish and maintain effective communication and collaboration with other Division of Student Affairs departments, Student Government, and other building occupants for effective IT services delivery and coordination
Responsible for administrative and management support functions as directed to meet the service and educational objectives of the JWRU
- Advise the Senior Director on short-term and long-term maintenance and other building operations issues; be knowledgeable and up to date on code requirements, new methods, procedures, and technology in building maintenance and upkeep
- Responsible for budget preparation and monitoring for areas of responsibility
- Participate in short- and long-term financial planning for the department as directed
- Responsible for customer billing and record-keeping for billable services including utility chargebacks and chargeable maintenance and housekeeping services
- Serve as staff advisor to the JWRU Board of Managers as directed
- Assist in determining short and long-term JWRU facility, program, and service needs; develop needs assessments and program studies as directed
- Responsible for the development and implementation of a sustainability plan for the department; in collaboration with unit managers, develop goals and objectives for sustainability efforts in various aspects of building operations; provide leadership for cooperation and coordination between JWRU staff and department partners for successful implementation of sustainability plans; ensure student involvement in the development and implementation of the plan to include the Board of Managers, Student Government, student employees, and others as appropriate
- Serve as liaison and collaborate with the UF Sustainability Office and the Division of Student Life Sustainability Committee to ensure department participation and collaboration in all efforts
Develop reports, handle special projects, tasks, and other duties as assigned
- Contributes to the division and university through active participation on committees and division-wide initiatives (examples include: emergency dean on call, event support team, conduct committee, student welcome events, etc.)
Expected Salary:
$95,000 – $104,000
Minimum Requirements:
Master’s degree in an appropriate area and six years of relevant experience; or a bachelor’s degree in an appropriate area and eight years of relevant experience.
Preferred Qualifications:
- Experience in college union operations including but not limited to event services, building maintenance, housekeeping functions, and other relevant support services
- Understanding of strategies, trends, and/or technologies related to building cleaning, maintenance, disposal of hazardous chemicals
- Skilled in effectively utilizing computer technology and appropriate software applications for various operations functions including but not limited to building maintenance work orders, key control systems, and databases
- Experience in building maintenance and upkeep
- Knowledge of operations of building mechanical systems, including Building Automation Systems
- Working knowledge of renovation and construction project management and building safety and security functions
- Ability to assist in budget development and monitoring
- Proficiency with computers and basic software applications
