Document Services Associate for Systems and Analysis

NYC Parks manages more than 30,000 acres or 14% of the City’s land, encompassing more than 5,000 individual properties. Our diverse set of assets includes recreational facilities, nature centers, historic buildings and structures, golf courses, athletic fields, playgrounds, tennis courts, public pools, public restrooms, retaining walls and nearly 14 miles of beaches. The Capital Division at NYC Parks is responsible for managing the design, construction and administration of capital projects to expand, improve and revitalize these public spaces.

Major Responsibilities
• Under direct supervision, with some latitude for independent initiative and judgment, provide exemplary customer service in a timely matter to the public, Agency personnel and Agency consultants by retrieving and disseminating requested documents.
• Identify documents that require conservation and carry out basic conservation techniques such as re-packing, copying and preserving fragile items.
• Handle fragile documents, large and heavy rolls of paper and mylar.
• Assist in the digitization, scanning and preparation of documents for transport to the Agency’s long term off-site storage facility.
• Retrieve, lift and file forms, shop drawings, approvals, rolls of plans, oversize plan file folders, specifications and other documents relating to capital construction projects.
• Assist in the operation of wide format print machines, document binding and distribution of bid documents.
• Perform data entry, filing and other clerical tasks.
• Operate standard office equipment including computer, word processor, copy machine and microfiche reader.
• Assist with special projects as assigned by supervisor.

Minimum Qual Requirements

Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to “1” above.

Preferred Skills

1. Able to work creatively and diligently, under both direct and indirect supervision.
2. Proficiency in computer software including Microsoft Word and Excel.
3. Strong organizational skills, including careful attention to detail.
4. Knowledge of digital preservation theory and practice, including current technologies, administrative/technical metadata, and file format standards.
5. Ability to prioritize workload and handle multiple tasks.
6. Ability to meet deadlines and identify and resolve issues with minimal direction.
7. Ability to climb a step stool and ladders to obtain necessary documents.
