Position Type: Full-time, 4-day workweek, with Fridays off. The scheduled hours for this position will be: Monday and Thursday from 9:30a to 8:30p, Tuesday from 9:30a to 6:30p, and Wednesday from 9:30a to 6p.

What to Expect: Devereux/TCV is currently seeking a dedicated and responsible person to fill our secretary role in our Drug and Alcohol (D&A) Outpatient Services program on the South Side of Pittsburgh.

Devereux/TCV’s D&A Outpatient department is a leader in providing adults with substance abuse issues, and gambling and video gaming problems, with services that include initial assessments, groups, individual therapy, case management, psychiatric services, and educational groups. This is done in accordance with policies and procedures, best practices, and regulations as established by the Department of Drug and Alcohol Programs and Allegheny County Drug and Alcohol.

This position plays a critical role in fulfilling the mission of TCV and the D&A Outpatient program by providing superior internal and external customer support and service in delivering administrative skills and services to ensure the efficient and effective operations of our drug and alcohol outpatient services program. We are looking for a compassionate individual who believes in a strengths-based approach, and uses positive practices to help guide their everyday activities. The D&A Outpatient Secretary position for the D&A outpatient program is designed to:

  • Work as a member of a treatment team to provide superior internal and external customer service by fulfilling front desk, registration, scheduling, data entry and medical records functions.
  • Ensure safety in the building by responding to electronic entry, and screens, greet individuals and direct them appropriately.
  • Promptly answer phone calls and route calls or take messages as appropriate.
  • Gather and organize information from consumers at intake, complete pertinent releases and consents at time of intake, organize consumer records, and explain consumer rights, grievance process and program rules and requirements during the intake appointment.
  • Educate each consumer on financial liability of services.
  • Assemble/reactivate charts for new admissions/readmissions; print schedules; pull and re-file medical records as needed; monitor deficiencies and maintain deficiency monitoring system; convert assessment only charts into treatment charts; sort loose filing; file documents into the medical record; process PCP and other releases.
  • Maintain data on all case openings and closings and make reminder calls (10 days)/send follow-up letters (60 days) to consumers who do not stay in treatment per policy.
  • Utilize Qualifacts to schedule individual and group appointments, complete encounter forms, enter memos to chart and include information on the consumer’s message board.
  • Perform outpatient site medical record functions, including, but not limited to, creating/reactivating medical records, sorting medical record documentation, filing medical record documentation and maintaining medical records, deficiency monitoring, coordinating requests/returns between centralized medical record storage/treatment sites, pulling and re-filing medical records.
  • Write, proof, faxes correspondence as needed. Ensure proper release of information is completed and in the file prior to sending correspondences regarding clients. Provide clerical support to clinical staff.
  • Provide clerical support to the Director in completing compliance audits and for county and state regulatory audits and other duties such as orienting new employees to the building.
  • Enter in a timely fashion client data in DDAP’s WITs system including Initial Assessments, Initial ASAMs, and Discharges.

*Prospective employees hired for this full-time position will receive a $1,000 (full time) sign on bonus. The employee will receive the first third of the bonus after the successful completion of three (3) months of employment, the second third of the bonus will be awarded after the successful completion of six (6) months of employment, and the final third will be awarded after achieving a “satisfactory” rating or higher on the annual performance evaluation.

Position Qualifications

  • High School Diploma or GED. Business School certificate preferred.
  • Two (2) years of secretarial/administrative experience.
  • Proficient computer knowledge.
