Job Title: School Secretary
Location: Overland Elementary School
Reports To: Building Principal
Terms of Employment:
Months per Year: 10 Full time: X Hours/Week: 40 Hours per week
Salary Classification: S-II, $20.82
Nature & Scope of Job:
School office personnel are usually the first to encounter an individual upon entering a school. In this capacity, they are responsible for establishing a helpful, congenial atmosphere for all individuals that enter the building. The telephone manner must convey a cheerful, helpful tone. They must be able to establish good rapport with all individuals in the school (parents, administrators, teachers, students, district workers, other secretaries and aides, as well as sales representatives).
Basic secretarial and communications skills are necessary to perform such duties and responsibilities as assigned by the building principal and to do the following:
Job Functions: Assist in the daily organization, operation, and general functioning of the office with constant interruption and multi-tasking ability. Promote an atmosphere conducive to the effective operation of a school and to insure optimal services.
Essential Functions:
- Maintain high level of confidentiality in all things seen and heard.
- Enter daily attendance
- Prepare Daily Announcements, oversee the reading of these by students, and distribute copies as needed.
- Make announcements between classes as needed.
- Call students out of class as needed for Administrators/Parents/SRO
- Make the all call when going into lock down at directions of Administrators and contact list of outsiders as needed.
- Work with the Food Service department as needed for Free and Reduced applications as well as taking money from students and giving those monies to Food Service in a timely manner
- Assist the Special Education Case Managers in assigning teachers to attend IEP meetings.
- Maintain the Check In/Check out log for all visitors.
- Maintain the log for checking out Elevator Keys
- Maintain all fees and fines as determined by teachers. Collect those fines and record receipts. At report card times, ready the individual fines to be sent with report cards.
- Give out locker combinations as needed for students. (Principals secretary has the original list).
- Oversee the lost and found turned into the office
- Assist nurse as needed with Health Room needs including distribution of medication and general first aid
- Request homework for sick students as needed
- Assist Youth Home, Law Enforcement, Probation & Parole as needed with student(s).
- Prepare Security Code list for parents as needed and share with other secretaries.
- Assist Jostens as needed.
- Ready Dance Passes and give a list to the Admin in charge before each dance.
- Organize the list of Senior students going to Lagoon and provide the bus list to the Admin in charge.
- Take messages for teachers/Administrators as needed.
- Utilize the School Messenger System as directed by Admin. to notify parents of upcoming events.
Other Functions:
- Maintain office in a clean and orderly manner.
- Assists in the day-to-day operation of a school.
- Performs other duties as assigned.
Job Qualifications:
Knowledge, Skills and Mental Ability:
Able to make sound and appropriate decisions.
Has the capability to use and run all machines in the building.
Minimum Requirements (Education, License, Certification, Experience or Formal Training):
High School Diploma or Equivalent
