POSITION TITLE: Energy Grants & Business-Bill Payment Specialist
LOCATION: Greenfield
STATUS: Non-Exempt
SUPERVISOR: Grants & Business Manager
POSITION SUMMARY
The Energy Grants & Business Bill Payment Specialist is responsible for processing heating system, weatherization, and fuel assistance, vendor bills for payment. Works closely with the Energy and agency fiscal teams.
ESSENTIAL RESPONSIBILITIES
- Process Heating System, Weatherization, and Fuel Assistance vendor bills for payment and send vouchers to Fiscal Department.
- Create and process Purchase Orders and Vouchers.
- Make entries to/maintain Job Tracker
- Maintain bill-related records and update procedures as needed
- Communicate with contractors and clients as needed to resolve bill payment issues
- Reconcile Fuel Assistance and Heat Repair jobs and payments
- Communicate as needed with Fuel Assistance and Applications/Data Coordinators
- Ensure that Fuel Assistance clients receive all possible benefits
- Receive and process Fuel Assistance error reports from utility companies, and address any issues
- Maintain filing system for Fuel Assistance payment vouchers.
- Remote work from home will be assigned and determined by your supervisor; When schedule requires remote work, expected to be available for meetings, calls, responding to emails, and conducting regular duties during standard service/agency hours.
- Maintains strictest confidentiality.
- Comply with agency and funders’ paperwork requirements and procedures
- Attend regularly scheduled supervision meetings, team meetings, mandatory agency trainings, and participate in professional development activities.
- Performs related work as required.

Requirements
ESSENTIAL QUALIFICATIONS
- Associates degree in a business-related field required.
- Two years’ experience in a business office environment.
- Additional appropriate education may be substituted for experience or additional directly related experience may be substituted for education.
SKILLS REQUIRED:
- Proficient computer skills: using a mouse, email, Microsoft office applications (including but not limited to Excel and Word) and data entry.
- Excellent communication skills, including verbal (in-person and phone) and written.
- Excellent organizational skills and attention to detail.
- Ability to compile and analyze data.
- Ability to problem solve.
- Ability to work calmly in a fast-paced, deadline-driven environment.
- Ability to work independently and take initiative.
- Sensitivity to cultural and socioeconomic diversity and the needs of individuals with low incomes.
