POSITION SUMMARY

The Operations & Vendor Coordinator is responsible for the energy efficiency and heating system vendor process from referral to service completion and to ensure wrap-around departmental services. This position is the direct vendor contact for heating system work orders and other related client-based needs including submission and tracking of utility project funding requests. The Operations & Vendor Coordinator receives referrals from a state-wide system and is responsible for intra-agency referrals through CAPV’s Hyphen database for Energy Programs services. This position supervises the Referral Specialists and the Energy Programs Scheduler.

ESSENTIAL RESPONSIBILITIES

  1. Maintain databases that track client processes to ensure accurate and complete client services across multiple funding sources and activities.
  2. Manage statewide client referrals from funding sources and internal referrals from within the agency. Ensure the referrals are followed up on and that client is receiving all applicable efficiency program options.
  3. Manage non-emergency referrals from within the program and external from the statewide referral board will be tracked and followed up on to ensure service.
  4. Monitor existing tracking systems for Energy client services.
  5. Ensure client eligibility for multiple programs and activities.
  6. Manage the Energy Efficiency Program main phone lines.
  7. Learn and maintain knowledge of multiple utility information systems.
  8. Track, report, and monitor flow, client wait lists, and overall program outcomes.
  9. Create, issue, and track heating system repair work orders.
  10. Troubleshoot and resolve issues for the eAssist Conservation (CSG) database, Monday.com, and other platforms.
  11. Represent Community Action Energy Programs by participating in community partnership meetings with other energy organizations.
  12. Coordinate information meetings for other agencies on Energy Program services.
  13. Supervise Referral Specialists and the Energy Programs Scheduler, including monitoring incoming referrals and scheduling services.
  14. Supervise the departmental programs and personnel in compliance with agency policies and procedures.
  15. Select, train/orient, and supervise department personnel.
  16. Inspire and motivate others to achieve increasing levels of performance excellence. Takes an active leadership role in valuing and promoting different perspectives and opinions and approaches throughout the agency.
  17. Evaluate performance and recommend compensation, promotions, and disciplinary actions.
  18. Comply with agency and funders’ reporting and documentation requirements.
  19. Attend regularly scheduled supervision meetings, team meetings, mandatory agency trainings, and participate in professional development activities.
  20. Maintains strictest confidentiality.
  21. Performs related work as requested by the Energy Director or their designee.

Requirements

ESSENTIAL QUALIFICATIONS

  • Associates degree in related field.
  • Three years of office systems and customer services experience.
  • Experience with monitoring and tracking in database software.
  • Additional appropriate education may be substituted for experience or
  • Additional directly related experience may be substituted for education.

SKILLS REQUIRED:

  • Proficient computer skills: using a mouse, email, Microsoft office, and tracking databases

Employment is contingent upon successful completion of Criminal Offender Record check (C.O.R.I.) for hire and every three years.
