Overview

Utilizing independent judgment, the Event Coordinator is primarily responsible for overseeing all aspects of the events taking place in the venue including developing, coordinating, and supervising all event related activities key to the operation of the facility including but not limited to overseeing event staff, collection and distribution of event information from clients, billing preparation/support, customer service representation to our guests and logistics of departmental activities relating to events.

This role will pay4 a wage of $16.77 to $19.23.

The Waterloo Convention Center at Sullivan Brothers Plaza is currently undergoing a multi-million dollar renovation and expansion to expand the capabilities for your event and enhance the event experience. Responsibilities

  • Review and understand event contracts generated by Sales Team
  • Provide a customer service focused relationship between the facility and client to ensure satisfaction while working within parameters of the facility, staff, and available offerings
  • Communicate with clients in a clear, concise, and timely manner to fully understand their needs and be able to communicate that to staff
  • Be adaptive to event needs and understand there will be challenges that will need solutions and quick thinking to resolve
  • Create and distribute event documents to staff, and notify staff as updates are made
  • Work with Operations to understand set-ups to better prepare events in advance
  • Submit requests for equipment, staffing, and special needs to staff to ensure all event needs are met
  • Assit in the preperation of building to meet the requirments of shows as well as day to day operation
  • Prepare pre and post event invoice documents to meet payment schedules
  • Manage event staff to provide leadership during events to ensure smooth execution
  • Work with management to resolve event-related complaints to resolve them in a professional manner to ensure costumer satisfation
  • Manage the event functions from pre-event through move-out
  • Establish and maintain effective working relationships with clients, co-workers, part-time staff, and guests
  • Willingness to work a flexible schedule including long shifts, late nights, early mornings, weekends & holidays as needed
  • Serve as Manager on Duty as scheduled to support hte Event Management Team
  • Learn and build your skills in the event industry to continue to improve and better understand events
  • Other duties and responsiblitys as assigned.

Qualifications

  • 4-year degree from a college or university preferred
  • One year experience same or similar position in arenas, convention centers, event planning, stadiums or theaters is preferred. Specialized coursework in Event Planning, Hospitality, or Venue Management is acceptable subsitute for experience
  • Experience supervising staff or a team to success
  • Computer skills in Microsfot office applications and cloud based systems to a moderate to proficient level
  • Profssional communication skills in English, billingual in Spanish is always advantageous
  • Posses a costumer service focused mindset
  • Willingness to learn knowledge and skills required for successful events career
  • Possession of, or ability to obtain, a valid driver’s license with source of reliable transportation
  • Ability to work a flexible schedule including long shifts, late nights, early mornings, weekends & holidays as needed
