Our Events Coordinators earn $45,000 to $52,000 per year, plus weekly commission!
Summary of Position
The Events Coordinator works closely with the General Manager and Director of Sales & Events to fulfill tasks to assist the Service Team and enhance the guest’s experience. This role accepts inquiries about private dining at C Ellet’s Steakhouse, works with the Director of Sales & Events to plan and execute events, and develops relationships to ensure lifelong guests while representing the restaurant and Hopkins and Company in a professional manner at all times, on and off premises.
In addition, the Events Coordinator works closely with the Marketing Department to drive sales and guest interaction at the location. This position assists in creating, implementing, and overseeing all event training and manages private events to ensure their success.
Duties & Responsibilities include:
- Serves as an Ambassador for the restaurant, staff, and the guest: models and facilitates excellence in service and hospitality. Understands what is possible and what is not when it comes to guest and restaurant requests.
- Serves as a liaison between the guest and the guest experience. Advocates for the guest and shares their expectations for their dinner/event.
- Attend and participate nightly pre-service line up. Sharing training, Guest expectations, opportunities and wins
- Warmly greet guests when they arrive and thank them when they are leaving. Always display superior hospitality to guests. Calling them by name whenever possible.
- Record and communicate guest needs, notes, and special occasions accurately in all technology and in a timely fashion.
- Maintain the accuracy of OpenTable ensuring that the flow of business is properly set up each day. Make recommendations to the General Manager for any opportunities.
- Answer phones, check voicemails, and communicate messages to the proper recipients in a timely fashion.
- Maintain robust knowledge of company-wide events and programs and actively share information with staff and guests.
- Assist with interviewing of selected candidates and make recommendations to the leadership team.
- Answer guest questions with knowledge, kindness and confidence concerning menu, restaurant, and private events.
- Work with the leadership team to ensure all guest requests are understood, able to be executed and known by all members of the team the night of their dinner/event.
- Assist with menu edits and spacing upkeep in Adobe Creative Suite’s Illustrator ensuring excellence in hospitality through careful editing and spellchecking. Ensures all items on menu have full availability for the service of the night and adds counts as needed when items are limited.
- Handle guest needs amicably and with understanding while maintaining poise and grace.
- Engage and support ongoing education and professional development both on and off campus.
- Consistently models professionalism with training and coaching of new and tenured staff.
- Assist to solicit and book private events
- Assist with the planning, merchandising and execution of private events.
- Assists Director of Sales and Events with all phases of events, including but not limited to sales, planning, marketing, service, and administrative procedures.
- Assist to plan and organize event details and aspects including event layout and décor, seating, dining, timing and guest requests
- Plan for potential scenarios that could impact the integrity of the event and working with the General manager to proactively find solutions.
- Work directly with the guest and Director of Sales and Events in setting up and following through on all details of the event. Work and supervise events, addressing all potential problems as they arise.
- Coordinate extra add-ons for private events such as flowers, The Buttery ATL giveaways, etc.
- Ensure proper setup and breakdown of events.
- Under the supervision of the leadership team, assist to train, direct, and work with staff during private events.
- Assist to delegate to the event team properly ensuring everyone has what they need to do their job while working and monitoring event from beginning to end.
- Ensure staff is implementing excellent service, hospitality, food and beverage consistently during the course of events by noting any discrepancies or challenges and following up with leadership team.
- Assist to build long-term, value-based customer relationships that enable achievement of sales objectives by soliciting feedback from guests to ensure they had a positive dining experience from start to finish and following up with the aid of the General Manager to ensure any concerns are addressed appropriately.
- Collect payments on time and assisting with maintaining reliable financial reports.
- Maintain relationships with vendors by acting with integrity and building rapport.
- Build and maintain a working knowledge of the complex needs of a wide variety of events. Maintains TripleSeat and makes sure all information is entered: from leads to confirmed events.
- Maintain guest satisfaction by monitoring, evaluating, and auditing food, beverage, and service offerings, initiating improvements, building relationships with patrons.
Education and Experience Qualifications:
- 2+ years’ experience in a comparable restaurant events coordination role
- OpenTable proficient
- Demonstrated ability to effectively interact with people of diverse socioeconomic, cultural backgroudnds
- Service oriented with professional presentations skills
