Events & Volunteer Manager

Position Overview

The Events & Volunteer Manager is a key member of our organization’s team, responsible for planning, coordinating, and executing a wide range of events, including IYT’s signature events and our all-staff retreats. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively with staff, volunteers, and external stakeholders. The Events & Volunteer Manager will also oversee the recruitment, training, and coordination of volunteers to support the successful implementation of these events. In addition to having experience in youth-focused event planning and volunteer management, the ideal candidate also has a proven passion for improving the lives of young men of color.

IYT serves over 4,000 members at 60 sites across Northern California. Given this wide network, semi-frequent travel around Sacramento, Northern Central Valley, and Bay Area will be required.

Responsibilities

Events (90%):

  • Working with the Director of Communications & Marketing and IYT leadership, the Events Manager will plan, execute, and manage IYT’s signature events and all-staff retreats. Signature events include Brotherhood Conferences (three regional youth conferences), Sneaker Ball (Fundraising gala), and Graduation Celebrations (regional youth-centered graduation celebrations). IYT hosts 1-2 all-staff retreats annually.
  • Develop and manage event timelines, budgets, and logistics, ensuring that all events are delivered within allocated resources and meet organizational objectives.
  • Collaborate with internal teams, external vendors, and partner organizations to secure venues, catering, audiovisual equipment, and other necessary resources.
  • Collaborate with Marketing, Development, and Programs departments team to maximize attendance and community engagement.
  • Oversee event registration processes, ticketing, and attendee communications.
  • Ensure seamless on-site event management, including setup, registration, speaker coordination, and overall event flow.
  • Evaluate event success and identify areas for improvement, providing recommendations for future events.

Relationship Management:

  • Cultivate and maintain strong relationships with internal staff, external partners, and vendors to ensure successful collaboration and execution of events.
  • Collaborate with the Development team to identify potential sponsors and secure sponsorships for signature events.
  • Liaise with event speakers, panelists, and performers to ensure their needs are met and facilitate a smooth event experience.

Administrative Duties:

  • Maintain accurate records of event-related expenses, invoices, and budgets.
  • Prepare and present post-event reports including attendance data, participant feedback, and financial analysis to IYT’s events committee.
  • Provide updates to IYT’s events committee regarding event progress, roadblocks, and outcomes.

Volunteer (10%):

  • Working with Development and Marketing, establish a recruitment system for organizing and training volunteers for IYT’s signature events.

Qualifications

  • Proven passion for improving the lives of young men of color
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
  • 3+ years of experience coordinating special events (250+guests)
  • Experience integrating communications and marketing into event planning
  • Excellent communication skills
  • Superior time management skills and multi-tasking abilities
  • Excellent Interpersonal skills with a high level of professionalism, ability to work within a tight-knit team, and build relationships with stakeholders and internal departments
  • Demonstrated proactive approach to problem-solving with strong decision-making skills
  • Highly Resourceful team player, with the ability to also be independent.
  • Bachelor’s degree from an accredited university
  • Forward thinker who actively seeks opportunities and proposes solutions.

Technical Qualifications

  • Proficiency in event management software, online registration platforms, and Microsoft Office Suite.
  • Familiarity with Canva
  • Familiarity with fundraising strategies and donor stewardship is a plus.

Schedule:

Monday-Friday, 8:30 AM – 5 PM (30-min lunch). Some weekends are required.

Pay Rate/Benefits:

Pay range is $21.00-$26.44 per hour DOE. Benefits include vision, health, dental, 403(b) with 3% employer match after one year of employment, Employee Assistance Program. Two weeks of paid vacation and up to 3 weeks of paid time off during regular school breaks

**NOTE: Employment with Improve Your Tomorrow requires fingerprinting, and the ability to pass a background check, with expenses covered by the employer. A valid driver’s license, a personal vehicle, and auto insurance are also required.
