Executive Administrative Assistant (Hybrid- NE FL based)

What You Will Be Doing:

  • Provide advanced, diversified, and confidential administrative support for the Chief of Staff to the Office of the CEO and their staff
  • Interact effectively with individuals at all levels within and outside of the Company in a professional and confidential manner
  • Complete or participate on special projects as needed
  • Receive, screen and handle telephone calls, incoming mail/email, publications and other correspondence, much of which is confidential or sensitive in nature
  • Coordinate conferences and meetings, and perform complex calendar management including managing and communicating all meeting logistics and agendas to involved parties
  • Compose and proofread correspondence and produce high quality materials such as presentations, spreadsheets, and reports
  • Process monthly time and expense reporting
  • Create and maintain computer and paper-based filing and organization systems
  • Maintain knowledge of organization policies, procedures and resources

What You Must Have:4+ years related work experience or equivalent combination of transferable experience and education to include diversified administrative experience, including one or more years of progressively responsible experience

High school diploma or GED

Additional Required QualificationsExpert experience working with Microsoft Office products: (indicate Word, Excel, Outlook and PowerPoint)
Experience leveraging organizational skills to support management team and client needs, focusing on execution, accuracy, and efficiency
Must be able to work flexible hours/schedule to meet business need

Must be willing to work a hybrid work schedule to include working from the Jacksonville office when needed.

Additional Preferred Qualifications

High level of comfortability working in a support role where confidentiality, discretion and tact are key for success.

Previous experience supporting C-suite executives.

Demonstrated ability to manage multiple priorities consecutively.

The ability to work with a wide variety of different kinds of people, personalities, and temperaments.

Openness and willingness to meet a variety of diverse administrative requests and needs with a low amount of preparation time.

General Physical Demands
Sedentary work: Exerting up to 10 pounds of force occasionally to move objects. Jobs are sedentary if traversing activities are required only occasionally.

Hourly Pay Range: $28 – $45

Typical Hourly Pay Range: $28 – $35

Final pay will be determined with consideration of market competitiveness, internal equity, and the job-related knowledge, skills, training, and experience you bring.
