POSITION SUMMARY:

The Executive and Fundraising Coordinator will provide an organized, systematic, and efficient office management for the office of the president and the association’s senior leadership. This includes setting meeting schedules; correspondence; production of directives and written communication; the logistical support, coordination and communication for the Board of Directors, Board committees and staff committees and support of the Annual, Capital, Endowment, Planned Giving, Grants, and any other Fundraising Campaigns.

ESSENTIAL FUNCTIONS:

  • Provide support for meetings and events for the office of the president, Board of Directors, Board committees, and staff committees. This includes but is not limited to preparing and disseminating materials; coordinating logistics – scheduling, location, food and supplies; creating reports, may also include travel arrangements.
  • Maintain records in Board software, BoardEffect, including: attendance, agendas, Meeting Books and moving minutes through approval process.
  • Responsible for producing and disseminating timely thank you/tax letters for Grants, Annual, Capital, Endowment, and Planned Giving Campaigns, and any other fundraisers as assigned.
  • Maintain detailed tracking and documentation files of grant and gift status in our pathway, including screening prospects.
  • Responsible for producing and disseminating donor related communications including but not limited to impact letters, Birthday cards, grant applications and reports, and annual community benefit reports.
  • Responsible to receipt Annual, Capital, Endowment, Planned Giving, and any other Campaign donations.
  • Support board, committee volunteers, and campaigners as needed.
  • Responsible for managing donor billing and balance dues.
  • Prioritize diversity, equity, and inclusion in all that the employee does.

Requirements

QUALIFICATIONS:

  • High school diploma or equivalent plus two years of education required.
  • At least 6 month’s experience in office procedures, filing, answering telephone and email inquiries and office equipment is required; 1 year or more experience is preferred.
  • Must have excellent interpersonal skills in relation to staff, volunteers, and donors.
  • Must have excellent written and oral communication skills.
  • Ability to use Microsoft Office programs is required. Ability to use YMCA specific software within one week of employment is required.
  • Exceptional organizational skills and the ability to manage multiple priorities are critical.
  • Works independently under general direction and is expected to determine how to accomplish tasks.
  • Ability to maintain confidentiality regarding donor information and legal, HR, and other information that pertains to the office of the CEO and President.

WORKING CONDITIONS:

  1. Ability to walk, stand, and sit (including on the floor) for long periods of time.
  2. Must be able to lift and carry food and supplies weighing up to 20 pounds.
  3. Ability to stand or sit while maintaining alertness for several hours at a time.
  4. Position may require bending, leaning, kneeling, and walking.
  5. Ability to speak concisely and effectively communicate.
  6. Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency.
  7. Ability to view/enter data for long periods of time.
