What you’ll do:

To perform this job successfully, an individual must be able to perform each essential function of the job with or without reasonable accommodation.

This position serves as executive assistant to the Commissioner and as secretary to the Coordinating Board for Higher Education. This position reports to the Commissioner and requires someone who is organized, professional, and passionate about doing their best work every day and able to adjust as needed if/when occasional last minute changes occur.

  • Coordinates commissioner’s calendars and scheduling
  • Coordinates department-wide calendar of events and major meetings
  • Coordinates presentation and materials for All-Staff, Leadership Council, and other high level meetings and events
  • Coordinates purchases and expense reports for Commissioner Office staff and serve as fiscal liaison advocate for Department
  • Support planning and lead execution of major department events, both internal and external
  • Serve as secretary for the Coordinating Board for Higher Education (CBHE) and as administrative back-up for board secretary for State Workforce Development Board (SWDB)
  • Coordinate preparation and distribution of board materials, planning for meetings, maintaining minutes and other related administrative duties as needed by CBHE
  • Support department-wide functions by maintaining mailing lists, assisting with planning and staffing for meetings, making travel arrangements, and coordinating virtual meetings and webinars
  • Demonstrate excellent written and oral communication and high level of proficiency in all Microsoft applications
  • Demonstrate creativity in completing detail-oriented tasks and ability to prioritize assignments and meet deadlines
  • Ability to maintain effective working relationships with team members, Senior Leadership team, legislators and staff, and other state government department leaders
  • Demonstrate regular and reliable attendance
  • Perform other related work as assigned
