The New York City Department of Correction (DOC) is an integral part of the City’s evolving criminal justice system, participating in reform initiatives and strategies aimed to move the City towards a smaller jail system without compromising public safety. The DOC is responsible for maintaining a safe and secure environment for our employees, visitors, volunteers, and people in our custody. Importantly, safe jails enable DOC to provide people in custody with the tools and opportunities they need to successfully re-enter their communities. The New York City Department of Correction has a unique opportunity for an experienced Executive Assistant to also support emergency management initiatives and coordination for the department as an Emergency Management Coordinator, and to support the Assistant Commissioner of Preparedness & Resilience, Director of Emergency Operations, and the Preparedness & Resilience Division Staff as part of the Commissioner’s Office Staff. The position will be reporting directly to the Assistant Commissioner of the Preparedness & Resilience and the Director of Emergency Operations. Under executive direction, and with latitude for decision-making, the selected candidate will manage a wide range of administrative and emergency management duties, and executive support-related tasks. Considered candidates should also have a basic familiarity with emergency management principles and procedures. Typical duties include but are not limited to:
• Assisting the Assistant Commissioner and Director of Emergency Operations in preparation for meetings and briefings;
• Preparing confidential and sensitive documents, correspondence and/or publication materials;
• Compiling information and preparing reports for the Division;
• Coordinating schedules & meetings;
• Responding to and organizing incoming and outgoing correspondence for the Division;
• Maintaining files, documents, and records for the Division;
• Performing general office duties such as sorting mail, filing, making copies, faxing, and ordering office
supplies;
• Providing assistance, and contributing to project planning, development, and implementation;
• Assisting with the preparation of presentation materials, reviewing reports and documents;
• Interacting with executive staff as well as all levels of management and employees;
• Represent DOC at emergency management & public safety meetings, conference calls, field-support,
and City command centers including the NYC Emergency Operations Center (EOC) and the NYPD
Joint Operations Center (JOC) for interagency working groups, calls, and meetings.;
• Serve as an on-call emergency coordinator during business and non-business hours;
• Work with stakeholders in developing and editing plans and facilitating trainings and exercises;
• Performing additional related duties as assigned.
Minimum Qual Requirements
1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one year of experience as described in “1” above.
Preferred Skills
• Previous emergency management experience;
• Ability to gather, analyze and communicate highly complex information clearly and succinctly,
both orally and in writing;
• Strong communication skills such as writing and editing of documents;
• Ability to adapt to a rapidly changing environment, manage multiple projects, and consistently
meet deadlines;
• Strong listening skills and the ability to take direction from leadership and show initiative;
• Experience communicating and collaborating with civilian and uniformed members of staff

Additional Minimum Qualification Requirements
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including a minimum of one year of the administrative supervisory experience described in “1” above; or
3. A four-year high school diploma or its educational equivalent approved by a State’s department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in “1” above;
4. Education and/or experience equivalent to “1”, “2”, or “3” above. However, all candidates must possess one year of administrative or supervisory experience as described in “1” above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in “1” above), at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
